General Purpose of Job:
Performs a variety of professional secretarial and administrative support functions to aid in the effective and efficient flow of work duties within Sparrow Community Care (SCC), Sparrow Care Network (SCN), and the Population Health Service Organization (PHSO).
This job description is intended to cover the minimum essential duties assigned on a regular basis. Associates may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.
Produces a variety of correspondence, reports and summaries from various sources including executive dictation, notes, committees, meetings, etc.
Receives, produces and maintains documents that contain highly sensitive and confidential information.
Receives, screens and directs incoming mail, phone calls and visitors, handles some matters personally and forwards needed matters to the Vice President or appropriate individual.
Prepares responses to routine inquiries and does follow-up to ensure that items are handled.
Composes, reviews and edits documents on behalf of the Vice President.
Acts as liaison between Vice President, staff, physicians, board members and internal/external groups.
Manages and communicates calendar and daily schedule.
Coordinates scheduling and travel arrangements for professional conferences and seminars.
Regularly interacts with a variety of healthcare organizations, community leaders and other individuals who are influential or important to SCC, SCN, or the PHSO.
Determines issues which the Vice President needs to be made aware of and communicates them in an appropriate manner.
Coordinates meetings for the SCC Board of Directors and the SCN Board of Managers; establish attendance, produce and distribute meeting material, assist with presentations, prepare minutes and maintain records.
Coordinates meetings for the SCN Finance & Operations Committee, SCN Quality Advisory Committee, SCN Quality Program Workgroup, Sparrow Population Health Value-Based Reimbursement Committee, SCN/PHSO Leadership Report Out, RHC RNCF Workgroup and Care Facilitators.
Coordinates SCN educational programs; set up all location details.
Provides accounting support services; processes expense reports for the directors, disbursement requests for SCC, SCN, and the PHSO, and processes SCN bank deposits.
Provides payroll support for SCC, SCN, and the PHSO.
Maintains documents for SCC, SCN, and the PHSO in the Sparrow Policy and Procedure Manager (PPM) database.
Maintains expiration dates for legal agreements and processes business transaction review worksheets.
Maintains inventory of office supplies.
Provides administrative support to SCC, SCN and the PHSO; including the Vice President of Population Health & Post-Acute Care, the Director of the PHSO, the SCN Medical Director, and others as needed.
General Requirements None Work Experience See Education Section. Education Bachelor's Degree in business, management, healthcare administration, or related field and a minimum of 1 year Administrative Assistant experience; OR Associates Degree in Office Administration or related field and a minimum of 3 years Administrative Assistant experience. Specialized Knowledge and Skills Able to multi-task and prioritize while receiving frequent interruptions Excellent computer skills (MS Office) Strong public relations skills with the ability to interact efficiently and effectively with a wide variety of individuals Excellent verbal and written communication skills Able to make sound independent judgements Well organized Strong attention to detail Minimum typing of 60 wpm Knowledge of Diligent Boards Software - preferred.
