The Service Invoicing Support Manager I is responsible for managing the daily activities of an administrative team responsible for the work order process and various administrative tasks to facilitate invoicing within the assigned division. Your primary objective will be to ensure accurate and timely activities to facilitate invoicing to customers while maintaining compliance with company policies and procedures. This position has discretion to recommend delinquency write-offs up to $5k per work order and/or account. Work is performed under direct supervision and is occasionally complex.

WHAT YOU'LL DO

  • Manage work order and work in progress activities/processes to facilitate invoicing for services rendered, ensuring compliance with all city, state, federal and/or company regulations, policies and/or procedures; ensure accuracy and timeliness of work order processing to ensure accurate invoicing.

  • Collaborate with various departments to obtain necessary information for work order invoicing purposes, overseeing all data collection of Work in Progress (WIP).

  • Communicate/Track WIP changes and delays in closing.

  • Address customer invoicing inquiries promptly and professionally.

  • Prepare and analyze work order/invoicing reports, providing insights and recommendations for process improvements.

  • Generate weekly and monthly sales progress reports.

  • Perform gross profit analysis.

  • Monitor and reconcile assigned accounts.

  • Monitor accounts invoicing aging and work closely with the accounts receivable team to address outstanding invoices and collections.

  • Perform collection activities for uncollected Purchase Orders and/or cash customers.

  • Utilize discretion to recommend write-off of delinquent accounts within established guidelines, policies and procedures.

  • Process service-related vendor invoices for payment.

  • Assist with developing, innovating, and recommending policies and procedures.

  • Implement and administer policies and procedures.

  • Implement departmental and organizational strategies.

  • Collaborate with leadership to develop and implement departmental objectives and performance metrics; ensure departmental objectives and performance metrics are achieved.

  • Administer budget within scope of responsibility.

  • Assist Service staff with administrative functions.

  • Attend safety, production, and team meetings as required.

  • Maintain up-to-date knowledge of billing regulations, tax laws, and industry best practices.

  • Supervisory Responsibilities: Directly supervise one or more administrative employee(s). Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

WHAT YOU'LL NEED:

  • Bachelor's degree (B.A.) from a four-year college or university in a related field of study; or three to five years related experience and/or training; or an equivalent combination of education and experience.

  • Previous supervisor experience preferred.

  • Entry to intermediate level accounting knowledge and math skills.

  • Entry to intermediate level problem-solving, decision-making and analytical.

  • Entry to intermediate level persuasion, influencing and leadership skills.

  • Excellent organizational and time-management skills.

  • Excellent verbal and written communication skills.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

  • Ability to write routine reports and correspondence.

  • Ability to speak effectively before groups of customers or employees of organization.

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

  • Ability to deal with problems involving several concrete variables in standardized situations.

  • Basic computer skills with programs such as Word for Windows, Excel, Power Point, etc. are required.

  • Valid driver's license and clean driving record.
