Job Summary:

Hill York seeks a Service Coordinator - National Accounts who will receive customer calls, dispatch Service Technicians, assign maintenance schedules and assist the Service Manager. Service Coordinators are responsible for exercising discretion and independent judgment in planning, scheduling, coordinating, controlling, directing activities of all service operational resources, and labor hours. They are also responsible for status updates, helping upload invoice to portal and communications with all parties involved in service and maintenance work. (Mgmt., Sales, Purchasing, EMCOR, Customers, etc.). Service Coordinators must have excellent verbal communication skills and must be driven to give exceptional customer service. Clerically supports all staff on a as needed basis.


Service Coordinator Admin Duties and

Responsibilities:
  • Provide exceptional customer service skills including the ability to handle a heavy volume of calls while maintaining a positive and upbeat demeanor

  • Dispatch Service Technicians to customer locations accurately with clear information

  • Answering Multi-line phones and receives all calls in a pleasant manner

  • Serves as primary point of contact for Customer, Service Technician, Sales staff and Service Manager

  • Dispatches all service calls to Service Technicians based on call type, skill sets and availability - coordinates with Service Manager when needed

  • Responsible for maintaining and scheduling EMCOR Maintenance Agreement work and Quoted Jobs with Customer and Service Technician. Meeting with Purchasing and Service Manager as needed to ensure all work schedules are going to be met on time.

  • Provides the Technician with all pertinent job related information and documentation so that the Technician can perform the work.

  • Enters technician's time on a daily basis and ensures that all related service tickets and log sheets (as required) are signed and attached to the appropriate work order.

  • Verifies technicians use the IVR Link for check in/out EMCOR updates.

  • All dispatchers have access to the Keyes website and have the ability to apply for COI or print an existing COI. Some buildings/customers will not allow us onsite without having a current COI. For this reason the dispatchers must have the ability to quickly log on and request one or print and existing one.

  • Establishes and maintains relationships with customers & field technicians.

  • Proactively handles customer disputes.

  • Review and update weekly spreadsheets regarding Open Work Orders

  • Works well within a team in a fast paced environment.

  • Performs other related duties as required.


Qualifications:

  • High school diploma or equivalent

  • Proficient in Microsoft Office

  • Bilingual a plus
