The Role
You will be providing administrative and clerical support to the service department. General administration duties will include tasks such as answering the main phone line, organizing correspondences, data entry, filing, tracking information, and providing exceptional customer service.
Responsibilities
Customer Account set-up and maintenance
Entering Service Appointments as needed (multiple programs)
Travel Arrangements
Manage Credit Card portal (includes PO creation and tech/manager communication)
Work with Training coordinator to process training guides and misc tasks.
Tracking and set-up of technician and certifications
Co-managing front desk phone/walk-ins/mail.
Answering the main phone line and responding to or transferring calls as needed
Mailing, emailing, faxing, scanning, and indexing of invoices, contracts, quotes, correspondences, purchase orders, manifests, and various supplemental documentation.
Preparation of and updating various spreadsheets, service contracts, files, correspondences, and internal memorandums as directed.
Monitoring technician's boards
Employee uniform arrangements
Creating purchase orders and approving invoice
Review Technician work orders and work with appropriate departments to handle discrepancies.
Manage Customer portals to include entering estimates and resolving rejected invoices.
Other duties as assigned.
Qualifications
Experience in an administrative role required.
High skill set in Microsoft Office Suite; Microsoft Office
Experience with Google Docs, Sheets, Slides, Drive and Gmail preferred.
Experience with Doc-Link document management system a plus
Experience with Microsoft Dynamics GP (Great Plains) and Wennsoft a plus
Experience with Salesforce a plus
A minimum of 50 words per minute typing speed with at least 95% accuracy
Excellent communication skills, including a professional phone manner.
High attention to detail, team mentality and a positive attitude
Able to work in a high-paced environment.
