Summary:

The Sr. Business Systems Analyst will drive innovation and optimization of TA technology and processes with the goal of bridging Talent Acquisition needs with technology solutions. The role would lead technology projects from ideation, through implementation and adoption; including developing and managing work plans. The role would drive proactive and continuous optimization and adoption of existing tools, address issues from root cause, represent and advocate for local TA requirements and needs to drive change, seek solutions and alignment with vendors and North America/Global partners. In release management, assess change impact and translate for localized use cases, manage adoption and communications with stakeholders to achieve business goals.

Job Responsibilities

  • Lead technology projects Initiate and create project plans, strategy and direction. Identify resource needs, define roles, engage and delegate assignments, coach and manage resources. Lead, organize and align with team members to collaboratively execute work plans.

  • Manage system changes and local requirements Leverage existing and new systems to meet needs of local Talent Acquisition team. Responsible for local system maintenance, impact assessment for releases, upgrades and enhancements. Represent and prioritize local change requests and business requirements. Plan, manage, and execute testing, training and communication activities.

  • Functional expertise across TA technology portfolio Provide recommendations, guidance and support with understanding of inter-connections and integrations with related HR systems and business processes, users, vendors and key stakeholder groups outside of TA. Explore capabilities, consult in pilots and evaluation of new system solutions and vendors. Ensure optimization of connections with ATS, CRM, reporting tools, career sites, and job boards.

  • Drive change adoption Define communication and training strategy. Define and develop sustainable training solutions. Determine impacts and training needs, define change plans. Provide engaging communication, user training, effective resources and documentation for user understanding and collaboration across teams, systems and processes.

  • Business Analysis Develop solutions and recommendations for positive cross-functional business impact. Elicit requirements and gather information to understand and represent business need. Ability to ask questions that lead to an understanding of the business need rather than wants. Risk and impact analysis to advise on best possible solutions across the organization.

  • Process Design Lead continuous process improvement. Design and develop optimized processes, procedures, and workflows. Provide recommendations and impact assessments. Interpret business rules, requirements and goals to leverage the system to enhance user experience, maximize system capabilities and efficiencies. Full understanding and provide best practices on business process and impacts downstream, including reporting, integrations to other systems and HR processes.

  • Vendor Management

  • Manage relationships with third party vendors, system providers and support integrations. Develop RFI/RPPs, evaluate vendor, define requirements and recommendations for selection process.
  • Collaborate and influence Cultivate relationships, gain alignment and influence change across global, local, other affiliates, service center, and cross-functional teams for conflicting requirements or system limitations. Translate and bridge business and technical needs and processes across teams to define solutions. Representative for Genentech Staffing.

  • Local support Oversee and support for ticket queue, providing support to recruiters, hiring managers, and candidates. Manage escalations, identify trends to determine root cause solutions to reduce ticket volume. Gather metrics, feedback and seek continuous improvement to increase client satisfaction.

  • Reporting

  • Provide reporting solutions, develop and deliver reports with accurate data. Ensure consistency of data across platforms and sources, locally and globally. Collaborate with People Analytics on analytics and dashboard projects. Gather requirements and represent TA.

Requirements

  • Requires Bachelor's degree in Business, Engineering, Information Systems, or the Life Sciences with a minimum of 8-10 years of HR, Staffing or HR Systems experience

  • Must have 5-7 years Recruitment systems (ATS and CRM) functional support experience, preferably Workday.

  • PMI and/or Six Sigma certification or related project management or process design experience is highly desirable.

  • Very strong understanding of HR recruitment processes and compliance.

  • Understanding and experience in system integrations, and usage of data across business processes, reporting and analytics (Tableau, Visier, a plus)

  • Systems experience with background check, myCertiphi, core HR solutions, website content management, a plus

  • Experience with vendor selection, RFPs, and management, system integrations, data mapping

  • Experience in defining, initiating, managing, and executing project plans for training, testing, implementations, and change management.

  • Ability to develop effective training to achieve high degree of understanding. Experience in developing eLearning training. Experience in developing simple, easy, accessible materials/resources on system usage in direct relation to business processes.

  • Strong business communication and facilitation skills. Ability to articulate and translate and communicate terms from technical to business. Strong ability to understand varying stakeholder needs and tailoring communications by audience.

  • Strong influencing, negotiating, relationship building, customer service and interpersonal skills. Must be able to work across regional and global teams to influence to meet objectives.

  • Strong analytical skills, with experience in root cause and impact analysis

  • Experience in process analysis, design and documentation

  • Must have organization, attention to detail and process skills, and can impart these skills on others.
