This position supports our Corporate business function. Preference is for this position to be fully remote and based in EST; however, will also consider qualified candidates in CST.

Workday Payroll experience is required.

We may fill this position at a higher level depending upon qualifications and experience of the selected candidate.

Job Summary:

The Senior Payroll Specialist is responsible for accurate payroll and payroll tax processing, serve as the main point of contact for our vendor partners, and perform functional activities in support of various modules in the HR system. The position has responsibility with system releases/upgrades, enhancement, and process redesign and will troubleshoot and resolve issues related to system configuration primarily in the payroll area and may assist in other areas as needed.

Essential Duties and Responsibilities:

60% - Payroll Processing:

  • Accurately process bi-weekly and special payrolls for hourly and salaried employees. Serve as the main contact for payroll partner(s). Audit timesheets and system business process changes including compensation and other employee changes to ensure timely and accurate submission for payroll processing.

  • Serve as the main technical and processing contact for HRIS on payroll functionality and respond to payroll queries from employees in a timely manner.

  • Accurately process funding and invoices as it relates to payroll deductions.

  • Works with Treasury and Payroll Accounting on funding, reporting and balancing of payroll expenses.

  • Manages the process of adding new payroll components, ensuring Accounting steps are completed to support new earnings/deductions.

  • Troubleshoot and manage payroll processing issues.

  • Partner with benefits and compensation staff on the effective payroll processing of stock vesting, merit and bonus processing and reporting requirements as it relates to payroll.

  • Create and write custom reports to accommodate payroll operational requirements using HRIS reporting tools, and provides accurate payroll results information to accounting, legal, compliance and other departments as needed.

  • Maintains payroll guidelines by writing and updating policies and procedures.

20% - Payroll State and Federal Requirements:

  • Responsible for tax calculations and filing activities as per IRS regulations, including federal, state, local and other filings. Ensure timely responses to agency notices, trouble shoot and resolve issues.

  • Apply for new and maintain state and local withholding, unemployment and state-specific employee and employer assessments and fees, ensuring the HRIS tenant and partner tax systems are accurate and updated. Ensure annual updates are processed and in place.

  • Ensure the effective and accurate Federal, state and local tax.

10% - HRIS System Effectiveness:

  • Participate in system updates and changes as it effects payroll processing. Create new configurations such as pay components and calculations, business processes, security and system configurations based on payroll, time, and HCM related requirements.

  • Works collaboratively with HR Business Process Owners to trouble-shoot, research and escalate HRIS issues as necessary.

  • Assists with the execution of system changes (updates, integrations, new configurations), participates in all aspects of system testing, and supports module owners in the design and configuration of their respective modules.

7% - Reporting & Compliance:

  • Create, run, and/or schedule custom workday reports to support management decisions and support accounting and treasury.

  • Work with the Director of HCM & Payroll and Benefits Director on Section 16 compliance requirements.

  • Maintain payroll and relevant HRIS procedural information and instructions.

Secondary Responsibilities:

3% - Participate in department, cross-departmental and organization-wide projects.

Qualifications:

  • Bachelors' Degree in Human Resources, Accounting or a related field. Eight years of HR/payroll experience required for candidates without a degree.

  • Minimum of four (4) years' experience in multi-state payroll and payroll tax (including locals) is required.

  • Working knowledge of general accounting principles, payroll best practices and wage and tax laws.

  • Hands on experience with HRIS and payroll software and databases. Experience with Workday highly preferred.

  • Strong attention to detail with the ability to handle sensitive and confidential information.

  • Exceptional math and numerical skills.

  • Outstanding organizational and time management skills.

  • Excellent communication abilities.

  • Aptitude in problem-solving.

  • Proficient knowledge and experience in Microsoft Office Suite, specifically Excel.

  • Ability to flex under tight deadlines and at times, high pressure environment.

Position Salary Range

$63,409.00 - $104,635.00

The salary range displayed represents the entirety of the pay grade for this position. Most candidates will start in the bottom half of the range. Factors that may be used to determine your actual salary include your specific skills, how many years of experience you have, your location and comparison to other team members already in this role.
