Hourly range is $24.03 to $52.88, with a midpoint of $36.06. New hires typically receive between minimum and midpoint, however, we may go slightly higher based on experience, internal equity and market.

GENERAL PURPOSE:

Under general direction, provides professional staff support to the recruitment function, serves as an integral partner in managing the recruitment activities from application review, interview scheduling, document control, and filing of open position requisitions. Works with hiring managers with access and use of applicant tracking software, updates system for streamlined operations and accuracy for both internal and external customers. Partners with Human Resources team to evaluate and update required policies and procedures to stay current with applicable state and federal law changes, internal updates, and process improvements.

ESSENTIAL FUNCTIONS:

The following duties are a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

  • Schedules phone screens and interviews working directly with candidates and hiring managers.

  • Develops and coordinates division initiatives and projects; takes assignments from original concept through final implementation.

  • Assists with the administration of the department budget to include compiling the annual budget materials, monitoring monthly budget variances, assisting Talent management with inputting departmental budget and invoices.

  • Coordinates post-interview debrief meetings to evaluate the effectiveness of the hiring process to include the experience for the candidate, Hiring Manager, and impacted Sound Transit staff to identify opportunities for improvement.

  • Performs administrative duties to include tracking and filing all applicable hiring materials independent of direct supervision, works effectively under pressure, meets deadlines, and adjusts to changing priorities.

  • Maintain confidentiality and communicate with tact and diplomacy when processing background checks.

  • Responding to inquiries and in effective oral and written communication.

MINIMUM QUALIFICATIONS:

Education and Experience:

Bachelor's degree and 3 years of experience as a recruitment coordinator or administrative support in the Human Resources field; OR an equivalent combination of education and experience.

Required Knowledge and Skills:

  • General principles, practices, and procedures of customer service.

  • Basic understanding of Human Resources software to include applicant tracking.

  • Basic project management and project control principles, practices, and procedures.

  • Methods and techniques of data collection, research, and report preparation.

  • Principles of business letter writing and basic report preparation.

  • English usage, spelling, grammar, and punctuation.

  • Modern office procedures, methods, and equipment including computers and computer applications such as word processing, spreadsheets, and financial databases.

  • Techniques to work effectively under pressure, meet deadlines, and adjust to changing priorities.

  • Superb customer focus, attention to detail, and organization skills.

  • Ability to work in a fast paced, quickly changing environment.

  • Responding to inquiries using effective oral and written communication.

  • Utilizing personal computer software programs affecting assigned work and in compiling and preparing a wide range of documents, spreadsheets and reports.

  • Establishing and maintaining effective working relationships with other department staff, management, vendors, outside agencies, community groups and the general public.

  • Interpreting policies and procedures sufficient to administer, discuss, resolve, and explain them to staff and other constituencies.

  • Excellent understanding of Microsoft Office to include Excel, Word, Outlook and SharePoint.

  • Providing assistance to managers in administering programs and projects.

  • Collecting, evaluating, and interpreting information and data from multiple sources.

  • Conducting research and analysis and providing appropriate recommendations based on findings.

  • Preparing clear and concise analytical, administrative and financial reports.

  • Organizing complete recruitment files and establishing records management systems.

  • Maintaining good customer relations with positive customer service orientation.

  • Working cooperatively with other departments and outside agencies.

  • Monitoring program/project operating budgets, costs, and schedules.

  • Interpreting and applying applicable federal, state, and local policies, laws, and regulations.

Physical Demands / Work Environment:

  • Work is performed in a hybrid office environment.
