The Department of Spanish, Italian and Portuguese seeks applicants for a Senior Student Services Coordinator. The Senior Student Services Coordinator supports students and faculty by providing variety of administrative support and coordination for student processes, including, but not limited to, admissions, student registration, graduate financial aid, status updates, monitoring progress toward degree, verifying degree requirements, coordinating student events such as proposals, dissertations, diploma ceremonies and graduation, course scheduling, and other student related processes. The incumbent will also provide information to students, faculty, and staff on these processes and maintain student records and serve as the point for contact for student and course related processes and questions for the department.
Graduate admission, works with the Graduate Admission Director and Graduate Admission Committee to process student applications in Slate, answer student and faculty questions on a variety of processes including application, registration, nancial statuses, and graduation requirements and coordinate visits of potential graduate students. Produce and update program promotional materials. Provide program and registration support to new admitted students.
Schedule SPEAK test for international graduate students; sends out reminders to students and coordinates with UVA testing center
Graduate Financial Aid, processes graduate financial aid as awarded through Workday and SAFM
Provides student and faculty support for course registration, degree requirements, issues with Student Information System (SIS), assisting with grade changes and major/minor declarations.
Provides course scheduling and support; work with faculty to schedule courses, classroom requests, course related room reservations and assisting in resolving issues with classrooms.
Coordinates the following processes in the department; Graduate mastery & proficiency Language exams, Graduate written and oral comprehensive exams and 4th year Undergraduate Degree Audit.
Maintains graduate student's files and track current student academic progress.
Coordinates retention and documents destruction for student files and course materials.
Serve as initial contact for students and faculty on a wide range of individual questions and referring to appropriate personnel when needed.
Assist in planning and conducting events such as major declaration workshop, diploma ceremonies, and course related events.
Work with Graduate Directors to update graduate handbook.
In addition to the above job responsibilities, other duties may be assigned.
High school diploma, as well as four years of relevant experience is required. A degree or combination of education and training may substitute for experience.
Proficiency in Excel, Access, and Microsoft Work.
Ability to handle multiple tasks in a fast pace environment Ability to work independently as well as within a team environment.
Demonstrated ability to take initiative and suggest improvement as related to position and procedures.
Demonstrate excellent oral and written communication in daily interactions with faculty, students and staff.
Experience working with students in an advising and/or academic support capacity in a higher education setting.
Experienced in working with UVA Systems, SIS, Oracle, UBI, SLATE and Workday.
