Job Description:

Alabama State University, College of Science, Technology, Engineering and Mathematics, invites application for a part-time secretary. Under direct supervision, the selected candidate will provide administrative and secretarial assistance for the college.

Duties and Responsibilities:

  • Reports to an assistant vice-president or other senior officer, and supervises the work of all student assistants assigned to the unit

  • Organizes and implements procedures for executing various administrative assignments

  • Compiles factual information from files, records, publications and other sources, and tabulates this information in accordance with standardized report forms

  • Determines when pertinent materials from the files should be attached to certain documents with which the supervisor must deal

  • Composes drafts of reports and letters for the supervisor's review, and transmits replies to routine correspondence on the supervisor's behalf

  • Assists in arranging meetings of the unit's staff or faculty, and serves as recording secretary at such meetings

  • Takes dictation or transcribes from electronic dictating equipment in preparing finished correspondence, reports or materials as assigned

  • Types minutes, correspondence and other documents relating to the operation of the unit, and proofreads these materials to ensure their accuracy

  • Establishes and maintains accurate and current files of letters, reports, records, and other documentary materials, and ensures that information in these files is kept confidential

  • Answers the telephone, places calls, makes appointments and reservations, receives visitors, and functions as an office receptionist

  • Performs general office management duties, and recommends methods for improving office procedures

  • Performs any other duties that may be assigned by the immediate supervisor

Minimum Qualifications

An Associate's degree in secretarial science, business administration, office administration or other appropriate field, and one year of administrative or secretarial experience or, a certificate in secretarial science with two years of administrative or secretarial experience, or an equivalent combination of education, and experience required.

A typing proficiency of 40 net words per minute is required. Proficiency exams administered by ASU's College of Education and State Career Service Centers are accepted.

Under the direction of the Nursing Leadership team, the Unit Secretary (US) performs unit functions appropriate to the position, and in compliance with hospital policies, procedures, and protocols. Functions include but are not limited to managing supplies, answering telephones and call lights, maintaining call board and assisting customers. The Unit Secretary transcribes physician orders in an accurate and timely fashion; participates in the patient's admission, transfer and/or discharge and facilitates rapid notification of Bed Control, Registration and Housekeeping. In a timely manner. Maintains an organized work environment (which may include files, supplies, equipment, etc) to ensure ease of use and physical professional appearance. Maintains optimal inventory supplies in an effort to enhance workflow efficiencies. Provides secretarial support as appropriate which may include data entry, faxing, copying, scheduling, charting, routine, etc. Demonstrates responsibility for own competency/mandatories and annual performance evaluation by maintaining all personal data up-to-date. Meets educational requirements for new equipment, materials, procedures and technology. Prepares for the performance evaluation conference by submitting required documents, and self-evaluation form one month prior to due date. Monitors for electronic order entries. Notifies RN of new findings. Notifies Physicians of consult in a timely manner and enters consults correctly electronically. Adheres to and consistently supports professional standards and health care regulations that provide for and promote safety, quality patient care and patient satisfaction. Demonstrates responsibility for maintaining knowledge base of current unit and hospital communication through a variety of modalities including but limited to communication books, posted notices, meeting minutes, Jackson Hospital intranet and Jackson Hospital email. Education: High School Education or G.E.D. Experience: None Licenses, Certifications and/or Registrations: BCLS required. Completion of a Medical Terminology Course preferred. Equipment/Tools/Work Aids: Computer, with related software, fax, copier, label maker, telephone. Specialized Skills: Requires computer skills, ability to type, good communication, time management and customer focused skills. Strong customer skills required.
