PURPOSE

Reporting directly to the Assistant Vice President of Regulatory Relations and Vice President, Assistant General Counsel and Assistant Secretary, performs a wide variety of tasks to ensure MGIC and its account managers are compliant in all applicable states to do business.

PRIMARY DUTIES AND RESPONSIBILITIES

The following statements describe the general nature of work performed by people assigned to this job, may not be performed by all individuals in this job, and are not a complete list of all job duties required.

Responsibilities specific to Regulatory:

  • Monitor Government Regulatory email box and distribute mail.

  • Interact regularly with other departments regarding various regulatory filings. Coordinate documentation necessary for regulatory compliance with other departments.

  • Submit monthly Regulatory Relations Visa reconciliation to the Cash Management department.

  • Maintain insurance licenses for all company affiliates in all states, District Columbia, Puerto Rico, and Guam, including filing required renewal documentation.

  • Prepare documentation for authorization of new company directors and senior officers, including working with directors and officers to obtain biographical information, fingerprints, and questionnaire responses for submission to all insurance departments.

  • Assist account managers with licensing (new licenses and annual renewals). This includes but is not limited to researching the process for submitting applications, sending managers instructions, web links and forms for submission of resident and nonresident licenses and maintaining all correspondence. Ensure the account managers are licensed in a timely manner to be compliant with NAIC regulations, appointing, and terminating producers to the appropriate MGIC companies and updating the License Renewal database.

  • Follow up with current Account Managers to ensure they are correctly licensed when changes to regions occur.

  • Submit numerous reports and surveys to various states throughout the year.

  • Assist with the submissions of premium rate and insurance form filings to the states using the Serff system. This includes, but is not limited to, completing state specific forms, entering documents, processing fees, and updating of databases ensuring all state correspondence is maintained.

  • Assist with identification of department requirements for the implementation of and transition to the record keeping database.

  • Update and maintain the Corporate Information System for each MGIC subsidiary.

  • Prepare Form 12's (Service to process), submit the forms to the states and update the Registered Agent information in the appropriate database.

  • Prepare and submit Anti-Fraud Reports.

  • Manage 100 plus company, branch and mortgage loan originator licenses for contract underwriting in accordance with 50 state regulations and the requirements of MGIC Mortgage Services, LLC.

  • Prepare and submit new and yearly renewals of company, branch, and mortgage loan originator licenses.

  • Maintain surety bond requirements for all states including working with an outside vendor.

  • File state specific reports throughout the year for MGIC Mortgage Services, LLC.

  • Submit quarterly and annual financials for MGIC Mortgage Services, LLC.

  • Manage continuing education for mortgage loan originators which includes but is not limited to research of education requirements, setting up and ordering of the education classes with outside vendor and follow-up work to make sure the education is completed in a timely manner.

  • Complete state examination requests.

  • Maintain tracking system to monitor for deadlines and due dates of various filing and renewals.

  • Provide guidance to Control Persons, Branch Managers and Mortgage Loan Originators regarding licensing matters.

Additional Responsibilities:

  • Proactively monitor and update the Activity Calendar.

  • Respond to telephone inquiries and correspondence.

  • Maintain documents and files in a variety of databases, logs, and records, ensuring the information is complete, accurate, and accessible.

  • Plan, organize, and implement procedures to manage the overall workflow most effectively within the department.

  • Train department assistant on department responsibilities and requirements.

  • Assist with development of department policies, procedures, and job aides.

  • Perform as a Notary for the Legal Department.

  • Manage and execute projects assigned within specific deadlines.

EXPERIENCE / BACKGROUND

  • Proficient in MS Office Suite (Excel, Word, Nuance PDF, Notes, PowerPoint), MS Teams.

  • Strong accuracy and attention to detail.

  • Ability to organize and manage responsibilities in a dynamic environment.

  • Spot new, less obvious solutions.

  • Limited supervision.

  • More than 3 years of work experience performing semi-complex, multi-step procedures.

  • Experience using multiple systems and state websites to complete tasks and ability to learn new systems quickly.

  • Previous experience working in a legal department with regulatory background or law firm preferred.

  • Ability to handle confidential or sensitive information.

  • Comprehension of legal terminology.
