Skanska USA Building Inc. (Skanska) is looking for a full-time Senior Proposal Coordinator in Rockville, Maryland. In this job, you'll support our overall sales and marketing efforts by taking on responsibilities including but not limited to:

What You'll Do:

  • Leading, managing, writing and producing proposals, qualifications, award submittals and presentation materials;

  • Interviewing team members and drafting targeted content for proposals and qualifications;

  • Assisting with minor business development efforts;

  • Creating external and internal deliverables containing feature/benefits and other audience-centric content;

  • Mentoring and providing feedback to less senior staff;

  • Maintaining internal partner relationships and resolving day-to-day issues;

  • Conducting external research for local strategic plans and on pursuits as needed;

  • Meeting with Business Development and Marketing team to discuss strategic initiatives;

  • Coordinating proposal needs with Creative Services and Technical Writers;

  • Communicating with team members for project and client information;

  • Attending internal Community Outreach meeting;

  • Updating external brochures with project information in InDesign;

  • Developing a layout for proposal in InDesign and inputting information;

  • Interviewing project team members for value-added information to improve proposal response;

  • Updating resumes and project sheets.

We're Looking For:

  • Four to six years of prior marketing experience in the Architectural, Construction, Engineering (AEC) industry or similar capacity;

  • Bachelor's degree in marketing, communications, journalism or related discipline;

  • Proficiency using Adobe Creative Cloud and Microsoft Office Suite;

  • The ability to multi-task and meet deadlines;

  • Excellent written and verbal communication skills;

  • A team player mindset with the ability to work independently;

  • Excellent skills in time management, organizing, writing, proofreading and editing;

  • Understanding of the AEC industry and marketing fundamentals;

  • A willingness to learn and work above and beyond;

  • A collaborative mindset;

  • The ability to think outside the box to find solutions to problems;

POSITION SUMMARY: The Proposal Coordinator will collaborate with the Proposal Manager in all aspects of proposal planning and logistics. Coordinates document production to support proposal development, reviews, and delivery. This includes working closely with the Proposal Manager and team to review the Request for Proposal (RFP) for requirements and supporting the development of compliant production and delivery plans. The Coordinator sets up or monitors the Collaborative Capture Environment (CCE) and monitors configuration control of all proposal artifacts. The Coordinator facilitates all desktop publishing, graphics, and editing activities. The Coordinator supports reviews, preparing review copies and merging reviewers' comments; preparing documents for final management review; coordinating final document production including final formatting, preparation of binders and tabs, and coordination of printing; preparing electronic copies; and supporting boxing and shipping. PRIMARY RESPONSIBILITIES: * Works with the Proposal Manager * Read and interpret RFP requirements to ensure compliance with font, type size, margins, and other proposal submission requirements * Review the proposal schedule and ensure deadlines for DTP, graphics, and editing are realistic/achievable * Prepare the Proposal Production Plan to ensure compliance with proposal delivery requirements * Work with the Proposal Manager in maintaining configuration control of documents and deliverables in SharePoint (CCE) * Provide logistics support to the proposal team * Coordinate and schedule publications support (DTP, editing, and graphics) * Perform visual Quality Assurance (QA) inspection of all proposal deliverables * Coordinate hardcopy production of proposal deliverables * Prepare electronic files * Works with and facilitate hardcopy and electronic delivery in coordination with Capture Manager, Proposal Manager, and/or Leidos Contracts Representative * Works closely with the Proposal Manager with other administrative tasks, as required * Anticipate and communicate team needs (CCE, IT, reproduction, proposal facilities, special supply orders, etc.). Be assertive if additional resources are required BASIC QUALIFICATIONS: * Bachelor's degree and 8+ years of related experience * Experience in proposal preparation, coordination, and production * Good verbal and written communication skills * Ability to effectively communicate with proposal leaders, proposal authors, and Business Development personnel * Expert in Microsoft Word.
