Job Description:

The Project Manager plans, organizes, executes, evaluates and leads systems projects from concept through closure. This includes all aspects of system implementation, following the Project Management Offices standards and procedures, to meet or exceed stakeholder needs and expectations and maintain a high level of quality through communication, customer service and organizational practices. Risk Management and Mitigation; Management of Project Budget(s); Communication Management; Development and execution of communication plans at all levels, including office of the CEO.

Additionally the Project Manager will be responsible for
Managing project activities involving remote Business Operations; Collaboration with supporting organizations: Office of General Counsel, Procurement, Controlling, IT, Accounting, Vendor and Supplier management, Contract Management, Coordination of plans and related project activities.
Conflict resolution. Excellent verbal, written, presentation and interpersonal communication skills. Development of presentations.
Working with MS Tools: PowerPoint, Word, MS Project, mail and scheduling tools.
Project planning and timeline management. Managing multi-million dollar supplier related projects.


Minimum 8 Years Experience Required
PMP Certification Required
Proven expertise in: Large scale (enterprise) Project Management utilizing industry recognized PM methods and tools, such as the PMBOK from the PMI.

Skills:
Team and personnel leadership; Lead team of PM and Management professionals on large scale, enterprise wide projects.

Experience in the following areas:
Experience in managing large scale, highly complex, long-term projects recently
Project management methodology based on the PMBOK 9 knowledge areas
MS Tools: Word, Excel, PowerPoint, and MS Project
Project Management tool - Clarity
Cost estimation techniques and business case preparation
Financial services/captive auto finance industry experience
Strong understanding of System Development LifeCycle (SDLC) & IT application development process

They are accountable for executing these projects on-time, on-budget, within quality and safety standards and to the as-sold scope defined by the contract. In order to carry out this responsibility, their authority to manage and control their projects must be established. The purpose of this Project Management Charter is to:<br />  </p> <ul> <li>Formally establish the Project Manager’s rights, authority and obligations to make scope, schedule and cost decisions on a project;</li> <li>Define the responsibilities of the Department Managers specific to the support of the project management process;</li> <li>Establish Senior Management commitment and support for the project management function.</li> </ul>   <p><strong>Project Authority:</strong><strong> </strong></p> <p>The Project Manager is identified as the “CEO of the project” as such, Project Manager has the right, obligation and authority on the project to:<br />  </p> <ul> <li>Coordinate with departments to develop the Project Management Plan;</li> <li>Provide leadership to execute the project within the Project Management Plan,</li> <li>Obtain the support from the Department Managers, and any other external sources to execute the Project Management Plan; including resource allocation;</li> <li>Hold team members accountable to their commitments and escalate critical issues to Senior Management;</li> <li>Manage all elements of the contract scope change process within Level of Authority Procedure in place;</li> <li>Make scope, schedule and, within the Level of Authority procedure, cost decisions necessary to execute the Project Management Plan;</li> <li>Review and approve, all actual and potential budget deviations;</li> <li>Be aware, at all time, of all aspects and status of the Project Management Plan;</li> <li>Identify, assess and manage all project risks and variances that may adversely impact project execution;</li> <li>Subject to internal procedure, manage the customer, supplier and internal relationships;</li> <li>Subject to Quality Assurance policies, delay shipment of a project in order to ensure satisfactory completion of all scope and quality requirements;</li> <li>Subject to HSE policies, interrupt execution of work performed in non-compliance environment</li> <li>Subject to internal procedures, bring the Project to closure per defined closing processes;</li> <li>Have a conduct representing Fives Cinetic’s leadership, internally, with suppliers and customers.</li> <li>Adhere to and promote the Fives Code of Conduct.</li> </ul> <p> </p> <strong>Signature Authority:</strong> <p>Subject to the Level of Authority procedure, Project Manager has the signature authority for:</p> <p> </p> <ul> <li>Commitments to Customers: Change Orders submittal and acceptance;</li> <li>Commitments to Suppliers: Purchase Orders or Subcontractor Agreements, Change Orders, Invoice approval;</li> </ul> <p> </p> <strong>Financial Authority:</strong> <p>Within the Levels of Authority procedure, the Project Manager has the authority to make all decisions necessary to execute the Project Management Plan. This authority comes with the responsibility and accountability for both the project budget and gross margin commitment.</p> <p> </p> <p>Project Managers have a responsibility to ensure regular, timely and accurate forecasts for all assigned projects. These forecasts will be based on “good faith” cost-to-complete by the Department Managers and any other forecasted cost-to-complete required to the proper and complete execution of each projects. Said forecasts will be analyzed by the Project Manager for their accuracy and reliability. High potential project risks and opportunities will be appropriately factored into these forecasts. Focus to be on consistency in the project gross margin from month-to-month.</p> <p> </p> <p>Project Managers must manage the scope of the project as defined, and as such, manage changes to the base scope as defined in the Change Management procedure. Any generated delay in project progress or request for scope change should be thoroughly documented immediately and financial compensation sought.</p> <p> </p> <strong>Cash Management:</strong> <p>Project Managers are expected to manage the cash plan with an objective to drive improvement to this plan where possible. Acceptance of this authority gives the Project Manager the right and obligation to:</p> <p> </p> <ul> <li>Manage all payment milestones per the contracts, including accurate forecasting of all payments;</li> <li>Manage customer invoices, within contractual conditions and Fives’ directives and guidelines to optimize collection of cash;</li> <li>Ensure outstanding receivables related to open project issues are promptly solved;</li> <li>When necessary, coordinate between Finance, Sales and the Customer to optimize cash collection;</li> <li>Access to the aging report for account receivables;</li> <li>Provide Procurement Department with specific schedule input to optimize cash flow.</li> </ul> <p> </p> <p><strong>Resource Management Authority:</strong></p> <p>The Project Manager is expected to manage a cross-functional core team of people to perform all project work. While Department Managers are responsible to properly assign resources to projects Project Managers have the right to participate in the decisions regarding team member selection and the prerogative to ask for replacement of team member. Regardless of final decision, it remains Project Manager’s responsibility to successfully manage the project.</p> <p> </p> <p>It is understood that this reporting relationship is temporary in nature and the Project Manager is focused on the best interest of the project. In this temporary role, project team members are accountable to the Project Manager as well as to their Department Manager.</p> <p> </p> <strong>Customer Relationship Management Authority:</strong> <p>Project Manager’s relationship with Customer is one of temporary nature (life of the project). Through this temporary relationship, Project Manager plays a key role and will be the point of contact with the Customer for all issues pertaining to the project. In that role, Fives Cinetic recognizes an opportunity for Project Manager to help in building stronger relationships with Customers.</p> <p>Notwithstanding the above, Fives Cinetic sales people are fully responsible for developing and maintaining the overall and long-term relationships with Customers. As such, sales management must retain full authority for managing these overall relationships.</p> <p>On occasion, Customer and project objectives may conflict. Fives Cinetic anticipates these situations may give rise to conflict between Sales personnel and Project Managers. To avoid both compromising project objectives and damaging Customer relationships, sales and project management are to consult and agree on strategies. Where agreements cannot be reached regarding strategies, Senior Management will make the final decision.</p> <br /> <strong>Supplier Relationship Management Authority</strong>: <p>Supplier purchases represent a significant portion of the cost of our manufacturing solutions. Project Managers are responsible for the budgets allocated to procurement. As such and subject to Fives Cinetic procurement procedures, Project Managers have a right to be involved in the pre-qualification, selection and approval processes as well as the right of final decision.</p> <p> </p> <strong>Quality Management Authority</strong>: <p>Project Manager has the responsibility to ensure that the Quality Assurance measures, tool and techniques are applied to the project at all time. Recognizing supplier quality may be impacted by commercial factors such as cost and delivery, Project Managers have the right to take commercial actions to bring resolution to quality issues.</p> <p> </p> <strong>Health, Safety and Environment Authority:</strong> <p>Fives Cinetic and its Senior Management recognize that Health, Safety and Environment are of utmost importance.
