About the Position:

This role is an on-campus, in-person position.

The Senior Program Specialist is responsible for supporting initiatives associated with the Folsom Institute for Real Estate.

The position provides daily support to direct reports and program management including donor and board relations,

marketing, student and external event planning, career services support, managing student event applications and

enrollment, organizational administrative and operational aspects of all programs.

The role will maintain accurate databases/trackers of alumni and advisory board members; coordinate with vendors; assist in the preparation of annual reports; processing of scholarships and expense reimbursements. Position will require ability to handle donor information with discretion.

This position is contingent on gift funding.

Essential Functions:

  • Program/Event Mgmt: Assist in the planning/marketing/coordination of all events. Coordinate venue reservations/

event registration/check-in/catering/venue set-up/ contract approvals/ deliveries/ A-V/ parking/ speakers'

travel-itinerary needs/event orders /expense payments/volunteers /clean-up. Compile event summary. Oversee

event/conflict calendars. Attend events.

  • Recruitment and Development: Assist/execute annual giving efforts including new/renewing memberships collateral

material/packets. Track/deposit contributions and reimbursements, maintain donor/sponsor/Board database with

discretion.

  • Student Support: Update student club member databases.

    Track student event attendance. Order branded

merchandise. Create reminder emails, social media announcements and weekly newsletter for student events.

Create resume books in coordination with CMC. Coordinate mentorship program registration/schedule/attendance.

Request/submit reimbursements.

  • Marketing: Communications and public relations experience a requirement.

    Coordinate website updates and manage social media presence. Create event flyers/marketing materials/event presentations. Create and maintain Institute marketing packet and other branded collateral as needed. Create/post event announcements/photos on

social media.

  • Business and Reporting: Assist in the development of budget, budgeting for events and collateral.

    Experience in drafting emails, summary reports and press releases a necessity. Assist with annual reporting and presentation research.

  • Administration: Administrative support for direct supervisors, department faculty, student real estate clubs and SMU Real Estate Society. Submit payment and reimbursements requests, create travel and expense reports, research travel options, create class photo lists/tent cards, upload class lists for software access, order and pickup office supplies/marketing merchandise, maintain student and alumni databases, manage PO requests.

  • Program Management: Implement programming and design marketing collateral to help activate students, Board

members, alumni and CRE companies.

  • Position requires some evening working for events

Education and Experience:

A Bachelor's degree is required.

A minimum of five years of professional work experience is required. Experience administering academic programs is desirable, as well as a background in a university setting working with students and faculty alike or background in campus or corporate recruitment.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. The candidate in this role must exhibit the utmost level of professionalism to work effectively with different groups.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Candidate must have the ability to be resourceful and proactive. Must also be a self-starter and demonstrate the ability to work independently as well as in collaborative environments in implementing the goals and objectives of the Institute. The position plays an important advisory and support role to the direct supervisors.

Candidate must have a strong working knowledge of Microsoft Office. Experience in database management, internet research, electronic event management tools, CRM, Adobe InDesign, Canva, MyEmma, SignUp Genius, Eventbrite, and/or familiarity with LinkedIn and other social networking tools is preferred.
