CBRE Affordable Housing Group has an immediate need for a Sr. Operations Coordinator who is responsible for due diligence management and other related initiatives. Time management, prioritization, and problem solving skills are required to succeed in this role. The Sr. Operations Coordinator must also possess strong attention to detail, along with robust communication and organization capabilities.

RESPONSIBILITIES

  • Collaborate with external and internal clients to acquire property information and files

  • Manage and track due diligence records within Salesforce and Box

  • Ensure timely handoffs between internal and external stakeholders

  • Actively follow up with clients to ensure documents are received

  • Organize and save documentation according to processes

  • Managing a pipeline for a team or designated group of stakeholders by entering and monitoring data

  • Make recurrent monthly requests to clients for property financials and rent rolls

  • Generate status reports and provide visibility by way of reports

  • Work closely with team members on department initiatives

  • Take on additional client-service or other related responsibilities as needed

REQUIREMENTS & QUALIFICATIONS

  • Bachelor's degree preferred, or Associate's with 2 years of relevant experience

  • Proficiency with Microsoft Office programs

  • Experience with SalesForce.com a plus (or comparable experience with similar CRM system)

  • Experience working with clients in a fast-paced environment

  • Understanding of the various types of real estate and financial documents

VIEW JOBS 1/10/2019 12:00:00 AM 2019-04-10T00:00 Operations Coordinator FLSA Status: Nonexempt Months Per Year: 12 Hours Per Week: 37.5 Position Description Seattle University is a highly selective, independent, Catholic, Jesuit institution adjacent to downtown Seattle, and is seeking a dynamic and proven athletics department professional to serve as its Operations Coordinator. Located on Capitol Hill, one of Seattle's most vibrant neighborhoods, Seattle University is one of 28 Jesuit colleges and universities in the United States and currently enrolls more than 7,400 graduate and undergraduate students within nine schools and colleges. Seattle University is among the most diverse independent universities in the West: 40 percent of its students are from ethnically diverse backgrounds and students come from 60 nations and all 50 states. Seattle University employs approximately 1,500 faculty and staff and has an annual operating budget of over $210M. The university's athletic program fields 20 Division I intercollegiate teams (9 men's and 11 women's) and is comprised of more than 340 student athletes. The Redhawks, Seattle University's athletic teams, compete in the Western Athletic Conference (WAC) in all sports and have an excellent track record of achievement both on the field and court and in the classroom. In the six years with the WAC, the Redhawk teams have a combined 45 WAC conference titles, including both team and individual championships. This position assists the Assistant Athletic Director for Finance & Business Operations with the day-to-day support of Seattle University Athletics Business Office. Budget/Finance/Accounting Duties: (60%) * Maintain and reconcile Ghost Card – Ghost card is used for department travel purchases, average of 230 transactions per month, collect receipts and code each transaction to the appropriate team or cost center, put together entire reconciliation and submit with appropriate signatures. * Manage the ProCard Program – Our department has 45 staff members with ProCards. Oversee the ProCard program for coaches where our office collects their receipts, does online coding & add descriptions, collects appropriate signatures and follow up with any coaches & staff that are not compliant with deadlines & procedures. Monitor all card members to make sure they turn in their reconciliations by the deadlines and send reminder emails to enforce deadlines. * Assist with ProCard reconciliation for designated senior staff members, i.e. do complete reconciliation for designated senior staff. * Provide ProCard training to new employees. * Provide Budget support. * Process journal entries and assist with year-end close outs of budgets and general accounting support throughout the year. * Run monthly budget reports and send to cost center managers. * Audit support – provide support and gather documents for various audits. * Process accounts payable and receivable requests (invoices, check requests, travel expense reports, etc.) * Manage PO's – track PO's to ensure PO's are approved and received so all orders over $500 can be paid. * Manage electronic filing system of AP/AR and PO's – saving files to department shared drive Travel Duties: (25%) * Oversee/Manage Team Travel – work with teams and travel vendors to resolve any issues as they arise. * Book Hotels & Ground transportation for team Travel – Approximately 100-150 group hotel bookings each year and approximately 150-200 buses bookings each year. Negotiate with vendors to get best rates possible. Ensure that all agreements/contracts with vendors are signed. Ensure rooming lists and itineraries are sent to vendors by deadlines. * Book local van rentals with Enterprise & Public Safety – book vans, verify monthly invoices and ensure payments are tracked and processed in a timely manner & billed to appropriate team. * Book/Coordinate student-athlete travel when traveling to WAC meetings throughout the year * Liaison w/ Sustainability office on campus to assist with annual emissions report * Travel Bags – Track/Monitor the check-in and checkout of department travel bags loaned to teams throughout the year. * Ensure all conference required forms are completed and submitted to the WAC by the designated deadlines. Administrative Duties: (10%) * Provide administrative support to Assistant AD for Finance & Business Operations. * Point person for Travel Advance Procedures and Reconciliation Process * Assist with vendor contracts and agreements * Approve all ProCard statements, reimbursements and travel expense reconciliations that have recruiting expenses on them to ensure we are compliant with NCAA guidelines. HR/Payroll Duties: (5%) * Supervise student workers in the business office. Qualifications REQUIREMENTS: Bachelor's degree and two or more years of accounting or bookkeeping experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. Must be able to prioritize work to meet deadlines. Must be able to handle stressful situations. Must possess strong verbal and written communication skills. Must be able to work well with others. Strong technical and computer skills required with highly developed attention to detail. Ability to effectively manage deadlines and multiple priorities. Knowledge of Generally Accepted Accounting Principles (GAAP). Knowledge of computer operations, software, information storage and retrieval techniques and methods particularly as applied to accounting functions. The candidate must be able to successfully complete an online computer skills assessment administered by the Office of Human Resources. Software included in the assessment: MS Word, MS Excel, MS PowerPoint, and MS Outlook.
