GLP Attorneys seeks a Senior Office Manager

  • Headquarters to join our team. This is a full-time, in-office position, Monday through Friday.

The Senior Office Manager

  • Headquarters is responsible for multiple tasks associated with administration of the law firm, while also filling the role of the Office Manager for GLP Attorneys Seattle Headquarters location. The Senior Office Manager

  • Headquarters will also have dotted line responsibility for overall firm operations and the Office Managers in each of the firm's physical office locations.

The role of the Senior Office Manager

  • Headquarters is both operational and people-focused. They will lead by example, uphold GLP Attorney's Mission and Vision, and exhibit behaviors consistent with the Core Values of the firm. The candidate selected will have a passion and demonstrated experience for client service, organizational efficiency, enjoy wearing multiple "hats," and be able to operate independently as well as part of a collaborative leadership team.

High-Level Responsibilities:

  • Collaborate with Shareholders and the Executive Team in the development of long-term operational plans, ensure cross-collaboration and knowledge sharing across departments.

  • Assist with developing and implementing operational policies and procedures to improve efficiency and effectiveness. Draw on relationships with internal and external collaborators to make recommendations regarding operational activity and alignment with the firm's goals.

  • Refine existing processes to simplify and streamline workflow firmwide for easy use by end users and that are scalable for growth.

  • Support the Shareholders and Executive Team with tasks that continue to operate the firm as a compliant organization, with the highest ethical standards, and a Best Place to Work.

  • Manage relationships with building facilities and vendors including schedules, contracts, and maintenance. May assist with physical office moves or furniture procurement/set-up.

  • Communicate and help ensure compliance with all firm policies and procedures including SOPs, Team Handbook, Legal Team Support, etc.

  • Administrative support for the Executive Team and Shareholders

Operations-Specific Examples:

  • Assist with managing and tracking IT fleet assets with the Executive Team and the firm's 3rd party IT vendor, including coordinating new hire equipment needs and transiting employee equipment returns.

  • Assist with/own tracking of and reviewing various firm legal subscriptions, leases, insurance policies, etc.

People & Culture-Specific Examples:

  • In conjunction with statewide leadership, responsible for ensuring every client, potential client, guest, business associate, vendor, and employee of the firm has a best-in-class experience when interacting with GLP Attorneys - via phone, email, and in-person.

  • Be an available, visible, and positive Champion of the firm, its people, and the Communities where we operate.

  • Own/assist with recruiting, onboarding and offboarding, and ongoing training & development initiatives for the Seattle headquarters location.

  • Coordinate/schedule various firm-wide or legal team specific meetings and events such as employee appreciation events.

  • Administrator for office-specific time and attendance records and requests.

Marketing & Business Development Examples:

  • Serve as the concierge for various marketing meetings and events such as new client meetings, referral source meetings, and association involvement for the Seattle office.

  • Develop and maintain some printed materials and collateral items inventory used for marketing and client support purposes.

  • Coordinate guest presenters at weekly meetings when needed.

  • Support administrative tasks and responsibilities for Areas of Practice teams.

Requirements

Qualifications:

  • Five plus years in operational leadership positions.

  • Working knowledge of business functions such as human resources, finance, marketing, and operations.

  • Strong understanding of data analysis and performance metrics.

  • Ability to develop and implement operational strategies and procedures.

  • Excellent leadership and influencing skills.

  • Strong communication and presentation skills.

  • In-depth knowledge of industry legal regulations and best practices.

  • Degree in Business Administration or related field.

  • Base level understanding of office technology such as copiers, laptops, conference equipment, and Zoom.

  • Prior inventory management experience would be a plus but not required.

GLP Attorneys determines the compensation for positions using local, national, and industry-specific data. We evaluate external equity and the cost of labor/prevailing wages in the relative marketplace for jobs directly comparable to jobs within our firm. For new hires, we strive to make competitive offers allowing the new employee room for future growth. Compensation will be based on the applicant's location, level of experience, education, and specialized knowledge and skills. An employee/candidate with a stronger skill set will receive higher pay. The salary range for this position in Western Washington is $68,000 to $75,000.

GLP Attorneys proudly offers a competitive total rewards package. In addition to the base rate and bonuses, the firm provides employees with vision, dental, medical/rx insurance (with the option to open a health savings account), life insurance, a firm-sponsored employee assistance program, and a 401(k)-retirement plan with a discretionary safe harbor and profit-sharing feature. GLP Attorneys sponsors 90% of the employee premium for those enrolled on the HSA medical plan ($3k deductible), 75% for the base plan ($1k deductible), and 75% for the buy-up plan ($750 deductible). The firm sponsors 25% of all medical dependent coverage. GLP Attorneys sponsors 75% of the employee premium for those enrolled on the vision plan and 25% for those enrolled on a dental plan. Employees are responsible for the premiums for dependent coverage on the vision and dental plans.
