Senior Medical Office Coordinators provide administrative support for a multi-faceted clinical facility, working closely with medical professional personnel and other administrative support staff, to ensure a smoothly functioning office and professional patient relations. They interpret operating policies, exercising independent judgment in resolution of administrative and clinical issues. They are responsible for the same duties as Medical Office Coordinators, however, they operate with additional authority, independence, or level of complexity. Senior Medical Office Coordinators perform work with limited supervision.

The Department of Neurosurgery at the University of Virginia (UVA) School of Medicine seeks applications for Senior Medical Office Coordinator/ Administrative Assistant. The individual will work primarily in the UVA Gamma Knife Center and also assist with Brain Tumor Related Focused Ultrasound studies. Be a part of these highly impactful programs at UVA.

The successful candidate will be expected to:

  • Prepare and type manuscripts for scientific publications and prepare slides for oral presentations.

  • Prepare grant and clinical trial documents

  • Answer phone lines.

  • Manage calendars.

  • Support clinic preparation and scheduling.

  • Transcribe notes and letters, including from film conference and other administrative transcription.

  • Review and prioritize incoming faxes and mail.

  • Coordinate travel arrangements and reimbursements.

  • Assist with data entry and queries in databases.

  • Monitor and order supplies.

  • Assist with coordination of educational conferences.

  • Update faculty CVs.

  • Document scanning and management.

Minimum Requirements

Education: High school diploma. Bachelor's degree substitutes for experience minimum.

Experience: Five years of medical office experience.

Expertise with Microsoft Office and strong computer skills required. Familiarity with Epic and TravelUVA preferred.
