Position Summary:

Performs secretarial and administrative support services for assigned physicians/faculty/ medical service line chiefs where the work requires a thorough knowledge of medical office procedures and UMMHC business and academic administrative practices. Duties involve interfaces with faculty; medical staff, patients, and various UMMHC administrative management and staff, which require considerable tact and diplomacy. May coordinate associated medical office activities and assigned staff.

Major Responsibilities:

  • May perform duties to coordinate medical office activities and staff as assigned, to include training, and scheduling the work of assigned employees, recommending processing improvements and implementing new procedures, and monitoring employee performance.

  • Transcribes medical reports for physicians from dictation. Produces correspondence, reports, memos, etc. from dictation drafts, models, etc. Proof reads/edits manuscripts, grant applications, academic and professional papers, and other material for appropriate grammar, spelling, format and style.

  • May attend meetings in capacity of recording secretary. Distributes meeting agenda and minutes.

  • May serve as coordinator of divisional residency, fellowship, clerkship, and/or graduate or undergraduate education programs.

  • Schedules and coordinates patient visits, medical procedures for both inpatients and outpatients with admitting, the OR, testing centers, pre-admission, etc.

QCC offers over 70 associate degree and certificate career options in Business, Health Care, Technology, Liberal Arts, and Human Services. Additionally, over 137 credit and 300 noncredit courses are offered online, as well as a wide variety of classroom non-credit courses, workshops, and seminars. Classes are provided on the main campus, in downtown Worcester (Healthcare, Workforce Development, Continuing Education), at the Worcester Senior Center (Hospitality & Recreation Management), at Burncoat High School (Automotive Technology), and in the city of Southbridge. Job Description: GENERAL STATEMENT OF RESPONSIBILITIES: Assist the Vice President of Enrollment Management and Student Engagement and the Associate Vice President of Student Success/Title III Coordinator with the day-to-day operations and special projects of the division. Organize meetings, which include working with college staff, division managers and directors, higher management levels of the college, as well as outside clients on a local and statewide level. Prepare agendas and record minutes; oversee the outlook calendars for the Vice President and the Associate Vice President of Student Success/Title III Coordinator, as well as travel arrangements and reimbursements. On a daily basis, triage problems and questions for QCC students, faculty and staff all while providing exemplary customer service. SUPERVISION RECEIVED: Reports to the Vice-President of Enrollment Management and Student Engagement. SUPERVISION EXERCISED: On occasion, supervises 03 employees, temporary employees and/or work-study students as assigned. DUTIES AND RESPONSIBILITIES: 1. Serve as the first point of contact for the office; greet and assist students and visitors with general information and assist staff with questions. Answer and triage office telephone calls answer phones and provide excellent customer service. 2. Receive and distribute incoming mail. Proofread college documents/booklets/flyers. Update and maintain current file system. Make copies of forms and documents, send and retrieve faxes and process printing orders. 3. Type memos, prepare letters and correspondence. 4. Schedule appointments and coordinate larger functions, including hospitality; reserve rooms and technology. Maintain staff calendars. 5. Submit and track purchase orders, travel requests, hospitality requests, supplies, and other paperwork associated with the divisional budget and Title III Grant funds. 6. Manage office supplies, handle travel arrangements, review time cards 7. Work closely to support and coordinate responsibilities with the Vice President and the Associate Vice President/Title III Coordinator with new projects, coordinating meetings, taking meeting minutes, and community outreach. 8. Review and edit call out procedures and communications to students with the Associate Vice-President for Student Success/Title III Coordinator and the Director of Institutional Communications throughout the fiscal year. 9. Title III Budget: Monitor, review, and update budget including inputting all invoices, purchase orders, travel expense reports. Reconcile records with Jenzabar. Assist other directors with travel arrangements for various conferences throughout the year. 10. Serve as backup for the approval of timesheets for 03, work study and temporary employees. 11. Applicants must have a least (A) four years of full-time, or equivalent part-time experience in office work, or (B) any equivalent combination of the required experience. . 2. Knowledge of the standard office practices relative to handling incoming mail. 4. Knowledge of the types and applications of standard office filing systems. 5. Skill in transcribing dictated material with speed and accuracy. 6. Ability to understand, explain and apply the laws, rules, regulations, policies and procedures governing assigned unit activities. 7.
