Position Overview

Civic Engagement (CE) is one of many ways City Year Los Angeles (CYLA) enriches school spirit and campus life. The CE team sits within the development department, serving as a valuable connection between AmeriCorps members (ACMs), schools, fundraisers, and funders. The Sr. Manager of Civic Engagement (CE) and Milestone Events leads a team of 6-10 Senior ACMs (Project Leaders or PLs) to designs and executes service projects like mural painting and landscaping to beautify campuses. They also execute kit-packing projects that provide teachers and students with critical supplies such as STEM kits and arts supplies. Through these kinds of service projects, the CE team builds valuable connections by providing an important introduction to City Year's work to prospective funders; engaging, cultivating and stewarding current funders through employee engagement; and generating income through a distinct revenue stream. The CE team also allows us to partner with schools who may not currently have a City Year team, expanding our reach across Los Angeles and deepening our impact.

The Sr. Manager of CE and Milestone Events also leads on the annual opening and closing ceremonies that bookmark and commemorate the CYLA corps' experience each year: Opening Day in the Fall and Graduation in the Spring. Working closely and collaboratively across all departments and with multiple internal and external stakeholders, this role is critical to ensuring that every event is an opportunity to celebrate our work, align with our mission, and captivate existing and future donors by engaging them meaningfully in our work.

Reporting to the Senior Director of Corporate Partnerships and working in close collaboration with the development team, this position is an exciting opportunity for an experienced events or project manager with proven experience in developing team members to fully manage and set strategy for an external-facing program that supports and furthers the mission of City Year.

Job Description

Oversee Civic Engagement Program: CYLA's volunteer engagement program that generates annual operating income through fee-for-service events.

  • Lead planning, design, set-up, execution, and follow-up phases of all service events that include painting murals, gardening, and light construction at schools or community centers.

  • Identify and secure schools and community centers for service events, and build strong relationships with key stakeholders, including school administration, parent councils, teachers, and executive directors.

  • In collaboration with the Senior Director of Corporate Partnerships, set annual revenue targets and ensure that the CE program generates a positive return on investment while creating a positive volunteer experience.

  • Serve as the primary relationship owner for funders whose support of CYLA solely consists of civic engagement activities, including Service Days and kit packing.

  • Serve as the lead contact with schools to ensure all required district paperwork is completed.

  • Create proposals for potential funders and serve as the primary contact in communication with CE donors to ensure effective use of funds and resources,

  • Prepare and manage all budgets, and expenditure reports to reconcile expenditure and provide ROI reports to the Managing Director of Development.

  • With the Senior Director of Corporate Partnerships, continually evaluate the potential of donors with the objective of ensuring that they are managed by the right development team member, according to their philanthropic aims and objectives.

  • Develop and implement innovative ways to cultivate and steward volunteers who participate in CE activities, including collaborating with the development and marketing teams to create promotional and stewardship materials that support these efforts.

  • Manage Service Day event cadence and expectations to ensure optimal corps and volunteer experience.

  • Determine the maximum annual number of Service Days the team can deliver and collaborate with the development team to identify potential supporters.

  • Set the service day calendar in advance and ensure that all partners-both internal support volunteers and external school partners-are identified and briefed well in advance.

  • Pitch prospective companies to attract new corporate support through the CE program.

Team Leadership & Management

  • Develop, manage, and coach CE Senior AmeriCorps members, including performance management, weekly one-on-one meetings, mid-year and end-of-year reviews and consistent implementation of the professional accountability system.

  • Train and support members of the CE team ensuring logistical and operational plans are in place to execute service days.

  • Regularly attend Program leadership team meetings and proactively identify opportunities for strategic collaboration to integrate the CE Team into our full corps experience and amplifying student and corps member impact.

  • Identify, develop, and facilitate trainings on project planning and management, volunteer management, customer service and all other elements specific to the CE team.

  • Ensure the team is well-developed, strong, connected to their work, and the organization.

  • Review and facilitate a data review after each quarter to ensure that the Project Leader experience is a priority for the department.

  • Ensure compliance with AmeriCorps and City Year Los Angeles' policies for service hours and program requirements.

  • Lead the recruitment and selection of an effective high performing CE team

  • Oversee recruitment, training, and coordination of Service Ambassadors, a group of AmeriCorps members that provide support to the Civic Engagement team on weekend service events

  • Leverage Service Ambassador Program to create pipeline of AmeriCorps members for the Civic Engagement team

Milestone Event Project Management

  • Design, manage, and execute Back to Service and Graduation events in collaboration with ProServe and Development to create meaningful, memorable, and engaging events for the corps while maximizing sponsorship, donor recognition and donor engagement opportunities for both events.

  • Manage all aspects of event logistics, including venue selection, vendor coordination, catering, audiovisual needs, live experience, and event flow.

  • Coordinate event schedules, timelines, run-of-show plans, and format of event to ensure smooth and successful event execution.

  • Fully manage each event budget, monitoring expenditure and ensuring events are executed within budgeted parameters.

  • Explore cost-effective solutions and in-kind support to maximize event resources.

  • Manage purchase card expenses and submit invoices for payment with approval from manager and in a timely manner.

Site & Department Support

  • Partner with CYLA departments and staff through stakeholder engagement, event and service day participation, and cross-departmental committees as needed to ensure site-wide goals are met.

  • Support the execution of site-wide goals through collaboration with program staff and leadership.

  • Collaborate cross functionally to make shared decisions, set strategy, and develop work outputs.

  • Support other department functions as needed.
