Conference & Event Services (CES) delivers exceptional service, resources, and support to events on the University of Denver (DU) campus. While upholding the University's integrity, values, and inclusive engagement, CES cultivates strategic relationships with its internal DU partners to ensure the success of outreach to local, national, and global organizations. CES provides services to clients for the exploration, discussion and enactment of issues and topics germane to a variety of important areas that include civic, political, non-profit, educational, and business.

Position Summary

The Senior Manager, Business Services leads the functional support of enterprise software products for event registration, scheduling, management and calendaring of the University's events, meetings, and conferences. This position has a bird's eye view of the event landscape on the DU campus and leads the establishment and oversight of the event practices campus wide including university policy development and compliance. This position reports to the Assistant Director, Business Operations for CES and serves on the CES leadership team. The Senior Manager supervises two part-time scheduling staff and can include student staff. This is a benefited position expected to work approximately 37.5 hours per week, with a flexible/hybrid work schedule where applicable.

Essential Functions

Software

  • Functionally administer enterprise level event registration, venue management and common calendar software for the University including user security, user guides, institutional event space features, layouts, photos, pricing, utilization reports and configuring event reservation forms.

  • Expert resource for software training and support for university employees.

  • Maintain central, one-stop shop event portal for all internal and external event inquiries.

  • Partner with technical administrator within IT to resolve issues; administration includes software upgrades and version changes.

Financial

  • Financial administration and troubleshooting for transactions in registration and venue management software including but not limited to direct pay and credit card batch reports.

  • Process general ledger entries related to registration reconciliation.

  • Excel data analyses for record keeping and Banner transactions.

  • Cash and check deposit maintenance.

Customer Service

  • Implement and manage liaison relationships for event processes to include regular outreach and feedback from every campus unit.

  • Act as a liaison between CES and other offices on campus, including Information Technology, Marketing and Communications, and Facilities Management in functions such as construction coordination, calendar integration, technology enhancements, space utilization and maintenance.

  • Evaluate event processes and make recommendations for continuous improvement.

Department Support

  • Make independent decisions to ensure departmental objectives are met and compliance with policies and DU's mission.

  • Implement common set of policies and procedures for event processes.

  • Chair the annual events calendar committee to develop campus-wide process for prioritizing annual signature events.

  • Ensure high levels of performance, achievement of goals and quality of results.

  • Resolve conflict and negotiate compromise for a common set of expectations for event scheduling and processes.

  • Other duties as assigned by the AD or ED.

Knowledge, Skills, and Abilities

  • Event Management software and scheduling software experience.

  • Comfortable resolving conflict with diverse stakeholders including VIP departments across campus.

  • Excellent project management and organizational skills with the ability to manage multiple projects simultaneously.

  • Capacity to work independently and exercise sound judgement in the face of high stress situations.

  • High capacity to address unexpected challenges and solve problems. Should have a knack for quick decision-making and effective crisis management with a calm, level-headed demeanor.

  • Savvy negotiation skills with comfortability navigating the unknown and maintaining boundaries, while upholding the integrity of the department and DU.

  • Highly organized and detail oriented.

  • Self-motivated, takes initiative and has great problem-solving skills.

  • Able to effectively interact with a broad range of constituencies.

  • Excellent oral and written communication skills.

  • Proficient in Microsoft Office Suite.

Required Qualifications

  • Undergraduate degree or equivalent experience

  • 3-4 years related experience with an emphasis in customer service and related software

  • Financial software familiarity

Preferred Qualifications

  • Undergraduate degree in related field

  • Supervisory experience

  • 5+ years event management experience with an emphasis in customer service and related software in an academic setting

  • Momentus (Formally Ungerboeck) software familiarity

  • Banner familiarity

  • Experience in Higher Education

Working Environment

  • Standard Office Environment

  • Noise level is quiet to moderate

  • Hybrid in office and work from home days

Physical Activities

  • Ability to sit in front of a computer for an extended period of time

  • Occasionally required to move about the office/campus with the capability of transporting objects up to 50 lbs.

Work Schedule

The University's administrative offices are open Monday

  • Friday, 8:00 a.m.

  • 4:30 p.m. Work schedule may vary.

Salary Grade Number:

The salary grade for the position is 10.

Salary Range:

The salary range for this position is $62,000 - $72,000.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate's sex or any other protected status.
