WHO YOU'LL WORK WITH:

You will join our Manager & Executive Assistant team, a diverse group of administrative professionals that spans the globe. You will have the opportunity to work with and support senior employees and client facing teams within all different aspects of our business located in our region. You will be an integral team member in the successful execution of how we are able to seamlessly serve our clients.

WHAT YOU'LL DO

The Senior Manager, Americas EA/MA Program will be responsible for all EA/MA programs in the US and Canada. The EA/MA Regional Manager will supervise a team of EA/MA Managers who will each directly manage a team of EAs and MAs. The Regional Manager is responsible for setting the strategy for the Americas program working closely with key stakeholders in every office to ensure leadership teams are feeling supported and business objectives of a regional program are met. The Regional Leader will manage staffing across offices, build and maintain a regionalized training program, track overall team job satisfaction and build/test various strategies for running a successful regionalized EA/MA team.

Strategy Creation and Process Implementation

  • Develop short-term and long-term strategy for regional EA/MA program model; includes evaluating 'test and learn' pilots, collecting feedback from stakeholders and team and building metrics to measure success of each pilot

  • Set priorities for strategy implementation and ways to measure success at each stage

  • Maintain close communication with Senior Director, Americas HR and Talent to understand leadership priorities and goals

  • Manage communication to Regional Managers and EA/MA team at each stage

  • Create standard ratings rubric for EA/MA team and skill tracker to implement prior to ratings cycle; work with Regional Managers to calibrate EAs and MAs based on standard measures

  • Develop impactful training strategy to effectively onboard new EAs and MAs; includes creation of training modules and identifying trainers to lead sessions

  • Implement continuous learning training programs to enhance teams' professional development and ensure best in class service for leadership team; includes ongoing updates to existing training modules and the creation of new content

  • Build-out Regional Manager role and responsibilities as regional model evolves; including creation of committees to execute on core program needs

Manage cross office-staffing and coverage

  • Build strong relationships across offices and departments to stay on top of support needs across offices; determine availability of EA or MA team members based on time zone and work collaboratively with Regional Managers to understand constraints on staffing; requires ongoing contact with Regional Managers, local HR teams, Partner Services and Finance to understand people movement and upcoming promotions

  • Works with Regional Managers to load balance groups, shift support to group together leadership in similar industries and departments when applicable

  • Build coverage model to ensure ongoing, impactful support to leadership when EAs and MAs are out of the office

  • Includes strategically thinking through coverage model for short-term support as well as long term needs including leaves of absences and/or EA/MA departures

  • Determine and sustain support eligibility across all roles and offices

Team management

  • Manage a group of EA/MA Regional Managers; responsible for hiring, firing, ratings and reviews, determine PD plan, performance management; provide general oversight and guidance to their day-to-day responsibilities. Prioritize work for team members and triage requests, as needed

  • Hire and train Regional Managers; oversee various integration activities for new Regional Managers; develop training schedule and ensure integration into team

  • Create a continuous learning and development program for Regional Managers

  • Develop and maintain training materials for EA/MA team, create new materials as needed, create annual training schedule (introduce new content, identify where repeat sessions are appropriate)

  • Communicate priorities to Regional Managers, assist Regional Managers in troubleshooting EAs/MAs issues, provide ongoing support and mentorship

  • Provide guidance to Regional Managers regarding EA/MA performance management with input from leadership; calibrate ratings across offices

  • Set compensation for EA/MA Team and Regional Managers annually based on ratings and consistent with firm guidelines

  • Provide guidance to Regional Managers regarding employee relations issues; team with HR team when issues are elevated

  • Collaborate with Regional Managers to develop and oversee team building activities and events throughout the year

  • Coordinate regular regional EA/MA meetings with Regional Managers; determine content and messaging

  • Prepare and manage regional EA/MA budget and track expenses

  • Other projects/duties as they arise

ABOUT YOU

  • Bachelor's degree or an equivalent combination of education, training and/or experience is required

  • A minimum of 7-10 years professional experience is required including experience managing teams

  • Experience in change management and implementation preferred

  • Outstanding written, interpersonal and verbal communication skills

  • Ability to independently solve complex problems

  • Meticulous attention to detail

  • Ability to meet deadlines, prioritize assignments and juggle multiple tasks

  • Ability to handle highly confidential information

  • Excellent team skills and customer service attitude

  • Strong proficiency in Microsoft Windows, Word, Excel, PowerPoint, and Outlook

The successful CEM analyzes the needs of the client, establishes and cultivates strong partnerships, manages multiple projects, delivers on deadlines and collaborates with multiple teams.
