Position Summary
Under the general supervision of the Assistant Dean for Student Affairs, the Senior Manager, Academic Services and Operations is responsible for managing and providing a full range of academic services to a population of 600 full-time graduate students; for managing the CourseMatch/Schedule Scout & enrollment process for 175 classes per academic year, actively collaborating with 90 Anderson School faculty, and managing high level relationships with deans, directors and other senior officials in the Anderson School and other campus departments. Primary responsibilities are in the following areas: 1) manage the very complex scheduling, enrollment and CourseMatch/Schedule Scout activities of the MBA student population; 2) manage and provide registrar functions and oversee student affairs management, using extensive knowledge as it relates to University and Academic Senate policies; 3) develop and manage high-level IT functions to provide streamlined and state-of-the-art online academic services; 4) provide academic advising for current and prospective students; 5) provide academic advising for dual-degree students; 6) frequent high level collaboration with senior administrators, area chairs and faculty regarding course offerings and CourseMatch/ScheduleScout; 7) manage and analyze data from a variety of sources to prepare statistical analysis summaries for senior administrators about enrollment trends, course offerings, and program needs & requirements; and 8) manage all academic and IT operations within the department.
The Senior Manager, Academic Services and Operations is an expert on University policy and procedures relating to academic matters, course scheduling, enrollment, and student records documentation. Further, the Senior Manager, Academic Services and Operations regularly advises and collaborates with the Chairman, Senior Associate Dean, and Assistant Dean and provides detailed statistical information relating to student trends, academic planning, faculty expectations, and MBA program offerings. Responsible for the accurate management of official student records.
Establishes and maintains strong relationships with faculty and senior administrators within Anderson, UCLA Division of Graduate Education, UCLA Registrar, and other campus departments. Meets and advises MBA program staff on a variety of student-related issues as they relate to admissions, program requirements, program eligibility, curriculum, scheduling, and registration/enrollment matters. Represents the MBA program and is a member of the senior management team of the full-time MBA program.

Student Affairs At least five years of progressive responsibility in area of student affairs management in a higher education setting. (Required) Communication Excellent communication skills, both written and oral, to relate complex information clearly, concisely and diplomatically. Demonstrated outstanding customer service skills. (Required) Interpersonal Skills Interpersonal skills to relate effectively with persons of various socio-economic, ethnic, and cultural backgrounds as well as different constituencies at UCLA. Interpersonal skills and sensitivity awareness to interact appropriately and diplomatically with a demanding student population. Interpersonal skills to interact diplomatically and effectively with high level administrators, faculty, students, corporate officials, and the general public. (Required) Computer Skills Excellent computer skills: strong proficiency in various software products including but not limited to all Microsoft Office/365 products, Canvas, Zoom, SQL and SQL databases. (Required) Registration and Enrollment Policy Demonstrated working knowledge of university degree requirements, registration and enrollment procedures, and policies. Knowledge of MBA program policies and procedures. (Required) University Student Database Systems Demonstrated knowledge and proficiency in using the University's student database systems - OASIS/SRS, SRDB, QDB, BAR ). (Preferred) Ability to analyze and identify problems, assess alternatives, formulate decisions, and take appropriate actions. (Required) Demonstrated experience in managing complaints with diplomacy and to problem solve effectively. (Required) Ability to make effective oral presentations to small and large groups. (Required) Demonstrated skills in complex advising techniques with emphasis on academic and student affairs. (Required) Demonstrated outstanding customer service skills. (Required) Ability to maintain confidential records and information. (Required) Ability to create, manage, and maintain websites and portals. Strong experience with database management and maintenance. (Required) Skill in mathematics to compute units, GPAs and weighted averages to determine degree deficiencies, process degree clearances, and compile statistical reports. (Required) Ability to establish policies and procedures and to interpret and enforce program policies and procedures. (Required) Demonstrated ability to work independently, to follow through on assignments with minimal supervision and to meet deadlines with strict time constraints. (Required) Ability to work on multiple assignments and to manage heavy workload periods in order to meet critical deadlines. Ability work effectively and efficiently with frequent interruptions. (Required) Ability to organize, plan and execute small and large scale projects. (Required)
