Bishop and Co. is seeking qualified candidates for a Senior Management Assistant opportunity for an established healthcare company in Honolulu.

The Senior Management Assistant supports the Strategy, Leadership & Communications department and the VP & CFO with heavy calendar management, planning, coordinating and assisting with logistics for professional development trainings, meetings, conferences and other program-related activities and events. This position requires the ability to work in a diverse and complex environment in direct contact with Providers and Administrative Staff to support company activities.


Plans, coordinates and assists with logistics for professional development trainings, meetings, conferences and other program-related activities and events.

Assists with organizing committee meetings and prepares meeting materials including agendas, presentations and other meeting collateral.

Serves as the liaison between Program Manager, other departments, regional entities, vendors, consultants and participants in the implementation of various programs.

Prepares travel and meeting arrangements, screens in-coming phone calls, composes letters and reports, and word-processing of presentations and financial data documents.

Assists with curriculum development materials, coordinating programs and events and project management. Also supports the program manager and/or program assistant.


Bachelor s Degree in Business or health care related field and/or equivalent work experience.

Experience in coordinating and providing support to large complex projects.

Demonstrated knowledge and skill in oral communication, written communication, customer service and interpersonal skills.

Ability to work in a fast-paced environment with minimal supervision.

Exhibits high-degree of professionalism when interacting with physicians and other internal and external customers/clients.

Ability to maintain and use discretion and good judgment while working with highly confidential and sensitive information.

May analyze data * Researches and collects information needed to complete project tasks or reports. * Interfaces daily with KP employees across multiple organizations and external parties as a liaison for the department/function * Tracks expenditures to include billing and payment authorization on behalf of the dept manager; authorizes recharges across business units. Manages expense reports * May participate in budget development for equipment and supplies. May be responsible for tracking expenditures and variances to budgets * Administers programs, projects, and/or processes specific to operating unit served. * May serve as administrative liaison for others within and outside organization regarding administrative issues relating to purchasing, personnel, facilities, and operations. * May conduct department-specific training * May establish work priorities and scheduling. May train, monitor and check work of other administrative support staff * May research and develop department administrative policies and procedures Basic Qualifications: Experience * Minimum five (5) years of administrative assistant or related experience. Education * High School Diploma or General Education Development (GED) required. License, Certification, Registration * N/A Additional Requirements: * Type 50 wpm * Demonstrated ability to prioritize and complete detailed work with accuracy and within time line requirements. * Demonstrated knowledge of and skill in adaptability, interpersonal relations, oral communication, written communication, organization, customer service, teamwork, project management, problem solving, decision making, results orientation, influence, leadership, and group process facilitation. * Demonstrated knowledge of and skill in word processing, spreadsheet, and database PC applications.
