The Senior Health Services Administrative Support Coordinator is a key member of the SHS team and provides quality customer service for students seeking health services and assists in maintaining an efficient and well-organized medical office. Paramount among the coordinator's responsibilities is safeguarding patients' personal health information by protecting written and electronic medical record data and other important health information. This position reports directly to the SHS Associate Director.

Position Specific Responsibilities/Accountabilities

Maintain front office functionality, i.e, answering phones, scheduling patients, checking patients in for appointments. Communicating with clinical staff to promote clinic flow and patient communication.

Process Student Health Services invoices to ensure accuracy of expense recovery.

Assist with statistical data on patient cases for month-end, semester and yearly reports. Collect and provide necessary data for preparation of budget and statistical studies as needed.

Responds to requests for patient records, both within the facility and by external sources, retrieving them and transmitting them appropriately.

Creates digital images of paperwork to be stored in the electronic medical record.

Assist with master schedule that determines physician and nurse practitioner time allotments for each patient.

Provide administrative support, such as planning, material preparation, and note taking for trainings, workshops, and meetings, etc.

Monitor and order office supplies as needed. Assist in ensuring that office equipment is maintained.

Respond to a range of inquiries via phone and email.

Manage incoming and outgoing mail and shipments, sort and route mail.

Perform other duties as assigned or requested.

Requisite Qualifications

  • Typically a Bachelor's degree or equivalent preferred. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

  • Minimum of 4 years of experience as an office coordinator in a healthcare setting.

  • Demonstrated knowledge in the areas of ambulatory healthcare administration and ability to work congenially with all office and healthcare practitioners.

  • Exemplary communication skills (written and oral).

  • Demonstrated organizational and leadership skills.

  • Demonstrated computer competency and knowledgeable of relevant systems.

  • Effectively and tactfully handle patients, students, faculty, staff, doctors, hospital representatives, and parents with friendliness, courteousness, and firmness.

  • Ability to recognize emergencies and take appropriate action.

  • Handle emotional, delicate situations with tact and diplomacy.

Salary range

$20.43 - $30.08 Salary commensurate with education and experience.
