Position Summary

The Edison Family Center for Genome Sciences & Systems Biology is home to an interdisciplinary, multi-departmental, multi-generational team of faculty investigators from multiple schools across Washington University. The Center faculty and their research labs, along with the Center staff are co-located in the Couch Biomedical Research Building on the Medical School campus. Center staff offices are adjacent to faculty labs providing invaluable, impromptu interactions. The Research Administrator, working both in office and remotely, will manage pre-award activities, perform post-award activities, and provide research administration duties including personnel, payroll, budgeting, and operations management for faculty and post-doctoral Principal Investigators (PIs). This position reports to the Center's Director Research/Business Administration

Job Description

Primary Duties and Responsibilities

Pre-award

  • Works with Center Principal Investigators to prepare and review all agency forms and submit grant and contract applications according to established agency/university guidelines. The Center faculty submit to a very wide variety of potential funding agencies including NIH, DOD, DOE, private foundations, industry opportunities, and internal opportunities, etc.

  • Works with Center Postdoctoral Associates to prepare and review all agency forms and submit grant applications according to established agency/university guidelines. The Center postdocs submit to a very wide variety of potential funding agencies including NIH, private foundations, internal opportunities, etc.

  • Uses University RMS system to enter grant budgeting documents.

  • Serves as a subject matter expert on complex troubleshooting error resolutions/solutions for grant submissions

Post-award

  • Serves as internal liaison and grant content representative, ensuring that all funds are set up in a timely manner.

  • Creates, addresses and processes correspondence of moderate to high complexity with granting agencies (i.e. inquiries, carry forward requests, change in effort requests, equipment purchase and budget reallocation requests).

  • Organizes and determines proper action plans including the oversight for advanced alerts to PIs of upcoming deadlines for continuation, competitive renewals, progress reports, etc.

  • Responsible for ensuring that human and animal study protocols are associated with the applicable proposal or award.

  • Ensures timely implementation of contracts and subcontracts by managing processes via the SUBS site, examining information and complying with necessary requirements of OSRS.

  • Responsible for closure of grant accounts. Submits final progress report and final invention statement (if applicable) to the appropriate agency.

  • Approves all grant and contract purchasing documents, including purchase requisitions, internal billings, invoices, and expense reports, and provides guidance to purchasing staff on appropriate expenditures according to specific grant policies.

  • Identifies and assigns payroll to appropriate sources and enters directly into HR system, with PI approval.

Other Functions

  • Tracks and maintains online database of grants and contracts submitted, awarded, rejected, etc.

  • Assists senior leadership with special projects as requested.

  • Participates in all Center-related meetings and symposiums.

  • Attends training sessions/seminars related to position.

Working Condition

  • Normal office environment.

  • Hybrid schedule will be offered at the end of the initial in-office training period expected to last two to three months.

Preferred Qualifications

  • Ability to take action in solving problems while exhibiting independent judgment in decision making processes, a realistic understanding of issues, and a sensitivity to the needs of Center faculty, students, and staff.

  • Highly organized and able to respond quickly to a variety of constituencies and myriad time constraints with variable resource availability.

  • Demonstrates influence and persuasive skills; promotes a spirit of collegiality, collaboration, respect, empathy and humility among members of a diverse scientific community

  • Ability to communicate verbally and in writing clearly and effectively, presenting ideas, documenting activities, reading and interpreting written information such as federal, state, and internal guidelines and requirements.

  • Solid, working knowledge of grant and contract pre-award processes.

Required Qualifications

Equivalent of Bachelor's degree with five years of experience in accounting or related field plus experience in grants administration or nine years of combined education and related experience.

Salary Range

$52,000.00 - $88,800.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
