The Senior Facilities Coordinator is responsible for assuring high standards of customer service, unwavering optimism and professionalism at all times, including timely response to and resolution of any client's requests or concerns.

Key Responsibilities

  • Act as first point of contact for on-site employees for all facilities management needs/ requests

  • Ensure all routine maintenance tasks and work orders are routed to the appropriate technician, vendor partner or client representative and are completed timely and within established Service Level Agreements (SLA's)

  • Assist Facility Manager with:

  • vendor management

  • contract administration and certificates of insurance

  • site inspections

  • management of the computerized maintenance management system (CMMS)

  • budgeting and accounting

  • Support as needed with invoice processing and reporting requirements.

  • Aid in bidding process and assist Facility Manager in their efforts to ensure compliance with policies and procedures.

  • Promote and foster positive relationships with client and FM team and track service calls as required.

  • Assist as needed with proper billing and charge backs.

  • Other duties as assigned.

Requirements

The successful candidate will possess the following required degrees, certificates or competencies:

  • High school diploma/GED equivalent; Bachelor Degree preferred

  • 1+ years of real estate property /facility management or related experience, or any similar combination of education and experience

  • Knowledge and experience with work orders systems (CMMS / CAFM)

  • Proficiency with Microsoft Office Suite

  • Strong organizational skills; detail oriented

  • Excellent oral and written communication and presentation skills

  • Strong interpersonal skills: Ability to work with others well, give and take direction and to interface with decision makers in a professional manner and maintain confidential information.

  • Proven record of excellent internal and external customer service

  • Ability to handle a variety of work with minimal direction and supervision.

  • A strong team player, service-oriented attitude and unwavering positive outlook
