The role is responsible for managing the assigned sites within the account owned and/or occupied portfolio in accordance with the requirements of all local, state and federal requirements. The position will be responsible for all line of business and third party relationships with the assigned buildings. The position will also manage a team of Facility Management professionals.


Relationship Management

  • Manage the performance and outcomes of assigned staff reporting to the position

  • Maintain interface with third party owners (Landlords), ensuring total contract (Lease) compliance, accurate and timely reporting, and resolve critical impact tenant relations issues


  • Provide overall facility services in accordance with accounts' standard processes and procedures including application of policies and programs, coordination of information

  • Ensure compliance with portfolio wide initiatives and required local, state and federal laws and regulations that pertain to the operating of facilities entrusted to the Facility Partners to manage on behalf of the client as owner

Process Management

  • Manage, coordinate, and exercise functional responsibility for Facility Management services within assigned facilities and geography

  • Prepare, submit and manage facility budgets with the clients' goals and objectives addressed, track variances and ensure smooth recovery process

  • Support prompt collection of management fees and reimbursements from 3rd party tenants occupying space with the accounts' owned premises

People Management

  • Responsible for overall team management, staff development and planning. Execute staff succession and growth plans.

  • Involved in compensation planning process

  • For every direct report, build actionable and measurable career development plans; direct report in consistent conversations regarding progress

Any and all other duties and tasks assigned


  • Bachelor's Degree in Engineering of equivalent combination of experience and education

  • Advanced degree a plus

  • CPM, RPA, or CSM designation

  • Real estate license is preferred

  • 8+ years of experience

  • Strong leadership and relationship building skills

  • Strong interpersonal skills and problem solving ability

  • Excellent verbal/written communication and presentation skills

  • Proven record of providing excellent internal and external customer service

  • Knowledge of standard business and accounting practices

  • Knowledge of Excel and ability to analyze data

The Facilities Manager is responsible for continuously identifying opportunities to improve policies/processes and to enhance efficiencies and exceed reactive repair expense control objectives. Drives performance and execution of the 3rd party facility administration and national repair vendor teams through management of contract SLA's, setting and measuring overall performance metric expectations and training account team associates and leaders to exceed facilities repair and maintenance requirements. Manages seasonal and special projects; including Critical Incidents, Crisis Management and assigned ECM business plans. Manages and directs vendors to complete reactive and scheduled projects; including but not limited to Roof Sweeps, Storage Units, Bunker remodels, TI, Landlord requests and large scale reactive remediation. Ensures reactive and planned repairs and maintenance are executed in a timely manner and that assets are evaluated to determine repair vs. replace; manage projects and replaced asset data within the work order management system to provide business reports to leadership. Is the 24/7/365 afterhours/ weekend escalation contact for field, internal and external vendor partners. ESSENTIAL DUTIES and RESPONSIBILITIES * Accountable for developing and implementing processes and managing projects to help manage over $30 million in facility repair and maintenance. * Responsible for work order system data integrity including asset management, warranties, LOS SD, dispatch guidelines and dark/closed locations. * Responsible for managing vendor programs through work order management system reporting, training and process development/improvement. * Reviews/approves service requests over $1000 in the work order management system. * Analyzes data and identifies replacement, repair and maintenance challenges. Share opportunities with the team to research, test and measure and improve facilities programs. * Facilities team liaison for other business partners such as LP Safety, Risk Management, Property Management, Construction, PetsHotel Operations, Salon Services and Store Operations departments with regard to Critical Incidents and Crisis Management. * Assists and educates store managers and field leaders in managing their building, equipment repair, maintenance services and budget. * Partners with 3rd party repair and maintenance vendors to control repair and maintenance costs and ensure service levels are exceeding expectations of the business. * Is the escalation point of contact for PHO partners, stores and field leaders as it relates to Facility vendor service level; and issues that arise after hours, weekends, holidays and critical incident/disaster response. * Develop, review and approve disaster/critical incident project scope with vendor and communicate all project aspects and ensure daily follow up with the store management team. * Partners with internal partners, field and regulatory agencies to complete repairs and provide documentation to meet inspection requirements. * Develop and improve process and training documents for the department, our vendors and our store/field partners. * Responsible for internal and external Facility Fetch sites; this includes developing and managing content from various sources with team members. * Responsible for proactively communicating with all business partners to ensure facilities repair processes are being followed to provide a clean and safe shopping experience for our customers and pets. * Manages the Real Estate Incident Response plan, which includes partnering with the Crisis Management and Business Continuity team, acting as the main point of contact for Real Estate and providing proactive business partner and field support. * Manages reactive and scheduled projects and supports other areas of the business on special projects as required.
