Overview

As the Senior Executive Assistant, you will play a crucial role in facilitating smooth communication and coordination with the Board of Directors and the Executive Team. Your daily responsibilities will include expertly managing the CEO's calendar, organizing priorities, and overseeing special projects. You will be responsible for drafting, proofreading, and polishing all written communications, ensuring they are clear, concise, and impactful. Additionally, you will develop presentations and reports that effectively convey messages to both internal and external audiences.

This position is fully onsite with the occassional ability to work remote. Position can be 32-40 hours per week.

Responsibilities

Communication and Relationship Spanning

  • 25%
  • Manage access to the President/CEO, acting as a gatekeeper by assessing and directing inquires within the organization as appropriate.

  • Act as a liaison facilitating CEO communications with Board Directors.

  • Serve as a primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO's style and organizational policy.

  • Maintain open communications with the executive team members, the governance information systems coordinator, executive assistants, and other team members collaborating in shared work efforts, and sharing information and documents as needed.

  • Collecting and preparing information for meetings with internal and outside parties; writing emails and letters; maintaining contact lists; making travel arrangements; and completing expense reports.

  • Greet scheduled visitors to the President's office and provide hospitality as appropriate, creating a welcoming experience.

  • Monitor the President/CEO email, phone line and mail - organizing and managing as needed.

Planning, Prioritizing, and Organizing

  • 50%
  • Uses good judgment in a variety of complex situations, with strong written and verbal communication, administrative, organizational skills, and the ability to maintain balance among multiple priorities.

  • Make advanced use of Microsoft 365 applications, evolving workflows, and collaboration to leverage technology for productivity.

  • Provide sophisticated calendar management for CEO. Prioritize inquires and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.

  • Keep the CEO informed of their upcoming commitments and responsibilities, following up appropriately. Anticipate and schedule so that the CEO has preparation time in advance of deadlines, meeting dates, presentations, conferences, etc. Schedule the CEOs meetings and appointments to maintain workflow and balance during the work week.

  • Maintain electronic files to support CEO's work, and document meetings and decisions.

Projects & Events

  • Work independently on projects, sometimes under deadline pressures at time to handle a wide variety of activities and confidential matters with discretion.

  • Oversee the arrangement and logistics of Board meetings, events, and retreats.

  • Assist the CEO in scheduling and coordinating logistics for executive team meetings and retreats and assist with preparing meeting agendas and materials as needed.

  • Complete a broad variety of activities that facilitate the CEO's ability to effectively lead the organization, including assisting with special projects, designing, and producing complex documents, special reports, and presentations.

Qualifications

  • 8+ years progressive experience in developing and executing the administration of complex operations and customer service delivery.

  • Bachelor's degree in business, communications or related field required.

  • Demonstrated ability to communicate effectively with a wide range of internal and external stakeholders at all levels of the organization.

  • Advanced user skills with Microsoft 365 tools including Teams, Outlook, and PowerPoint.

  • Has the courage to ask questions and make suggestions with executives to foster and safeguard a positive presentation of the executive and the organization.

  • Skilled at building effective networks and collaborative relationships and facilitating alignment to achieve goals.

  • Excellent creative problem-solving skills, agility in addressing changing priorities, and ability to exercise sound judgement in rapidly evolving situations. Ability to operate at the strategic, big-picture level while simultaneously managing the details.

  • Ability to take initiative and act with authority and confidence in a wide range of situations.

  • Demonstrated ability to succeed in a fast-paced environment, managing multiple projects with rapidly changing priorities and deadlines.

  • Superb written communication skills with experience in strategically editing the writing of others to capture and enhance intended messaging and tone.

  • Demonstrated commitment to excellence, attention to detail, and customer service.

  • Ability to maintain strict confidence and foster the trust of others.
