Provide primary administrative support to the Chief Financial Officer ("CFO") and assistance as needed for other members of the senior finance, accounting and information technology (FA&IT) leadership team including the Chief Accounting Officer, VP of Finance & Treasurer, Director of Internal Audit, VP of Financial Planning and Analytics, Chief Information Officer and VP of Tax. Administrative support to the CFO and FA&IT leadership team including; scheduling meetings, managing telephonic and electronic communications, managing files and offsite storage, office configuration, department events and communication, gathering and dissemination of quarterly audit committee materials, ad hoc special projects, coordination and scheduling of travel arrangements and meetings (including for audit committee and board members), and other miscellaneous functions.

Must be a responsible, detail-oriented individual with excellent communication skills, ability to prioritize, work as a team member, manage multiple projects and work with limited supervision.Will be required to handle sensitive data, must maintain confidentiality, prioritize routine work assignments and prepare documentation/correspondence and presentations. Regularly communicate on behalf of the CFO with executives, outside customers, vendors, government agencies and banking partners. Display strong organization skills through task management, meeting note taking and dissemination, supporting various stakeholders requests, and preparing the CFO for daily responsibilities. The candidate will be proactive in learning the CFO organization culture and the overall business environment and be a promoter of the goals and initiatives of the organization through positive communications and interactions with internal and external business personnel.


  • 4 year degreed candidate preferred.

  • High school/GED diploma required.

  • Candidate must have demonstrated skills in prior work history necessary to meet the experience requirements of the position.


  • Minimum of 5 years of executive level support experience with similar responsibilities and accountabilities in a corporate environment.

  • Must have advanced Microsoft Office Suite skills, including word processing, excel spreadsheet, presentation (PowerPoint), email (Outlook)

  • Fluent in English, both oral and written

  • Demonstrated knowledge of principles and processes for providing excellent customer service, maintaining flexibility and composure

  • Demonstrated competencies of priority setting, organizational agility, and process management

  • Demonstrated competencies of developing peer relations and actively participating as a team member

  • Problem solving skills with ability to manage change, multiple stakeholders, and coordinate multiple tasks

  • Ability to communicate and collaborate effectively with internal and external customers including senior and executive leadership

  • Ability to display a positive, pleasant, and poised demeanor through increased work load, changes in assignments, and / or requests from the organization

  • Ability to adjust work schedule as needed to meet departmental goals and needs

  • Prefer prior experience with Microsoft O365, Sharepoint, NASDAQ BoardVantage, Concur & Works expense reporting, Workiva, Oracle Procurement, and ADP


  • Manage travel arrangements and maintain travel profiles of the CFO and other FA&IT leadership personnel

  • Prepare organizational communication, letters, agendas, presentations, organizational charts, and document meeting minutes,

  • Quarterly, for the Risk Committee, Policy Committee, and other Committees as requested, prepare and coordinate meeting notices, meeting minutes and facilitate the distribution of material to Committee members

  • Quarterly, (as needed to support the Legal department) for Board meetings, assist with the gathering of information and preparation of presentations

  • Quarterly, for the Audit Committees, prepare meeting notices, agendas, internal calendars, gather and coordinate the creation of all meeting materials and distribute to each audit committee member

  • Regularly provide administrative support to the CFO and the FA&IT leadership team, including maintaining accurate records, preparing communication and letters, agendas, presentations, organizational charts, filing, recording meeting minutes, answering phones, and coordination of CFO staff and 1:1 meetings

  • Coordinate meetings, conference calls, catering lunch meetings, etc

  • Audit and process expense reports as well as T&E bills submitted by FA&IT consultants/vendors

  • Maintain tickler system to ensure deadlines are met

  • Maintain a filing system, adhering to document retention policies and maintenance in the contract repository of certain FA&IT contracts and support

  • Coordinate various training sessions, including monthly lunch & learns, utilizing internal and/or external training resources

  • Actively organize, participate and support organization's extra-curricular and charitable initiatives

  • Create and maintain miscellaneous reports utilizing spreadsheets, graphs, charts and tables

  • Maintain/update engagement letter tracking (audit, tax, property tax, etc) and execution of copies of key consulting engagements.

  • Assist with implementation/creation of corporate policies & standards and proceduresas needed

  • Assist with general administrative tasks including but not limited to mailings and copies

  • Provide front desk relief and support to administrative resource pool as requested Assist in communication and maintenance of Delegation of Authority

  • Other special projects as assigned, including but not limited to research, information gathering and document creation and preparation

We currently have a Senior Community Relations Specialist opportunity that is responsible for integrating MD Anderson's Houston area locations into the local markets by establishing and maintaining strong relationships with local non-profit, civic and business organizations, healthcare groups, and other community constituents. This individual will focus on implementing activities and coordinating charitable sponsorships to increase awareness of MD Anderson services offered in assigned markets. The ideal candidate will have 5-7 years of community relations, health education and/or community outreach experience. 1. Relationship building.Establishes and maintains strong relationships inside and outside the institution on behalf of assigned territories. Represents Houston area locations within local associations and at events, including but not limited to local Chambers of Commerce, Economic Development Councils, Rotaries, etc., using such opportunities to increase community knowledge of MD Anderson. Works closely with administrative directors to identify appropriate community representation. Attains strong knowledge base of all MD Anderson programs and services in order to effectively cross-sell and represent the institution to all community constituents. Communicates regularly with regional faculty and staff to enhance employee engagement in community events. Maintains familiarity with institutional brand and editorial standards to ensure internal and external stakeholders are compliant. 2. Event coordination.Coordinates all logistics for sponsored events in assigned markets. Conducts collaborative and/or independent community programs that showcase MD Anderson's resources and expertise. Identifies appropriate faculty and staff to participate in community events, and secures and supervises program volunteers as recruited. Plans and implements community events and programs for assigned territories. Collaborates with the Community Services team to secure appropriate staff for local speaking requests and exhibit opportunities. Identifies new opportunities in assigned markets that align with annual work plan and institutional priorities. 3. Program measurement and evaluation.Contribute to the development and implementation of an annual comprehensive work plan. Assists with development of program objectives and outcome measurement. Maintains Salesforce records to track events, document networking activities, and monitor outcomes. Completes monthly Salesforce reports.
