Job Summary

Work with the Gulf of Mexico (GOM) rigs and crew to maintain their flag licensing and assist Transocean associates, outside of the GOM, to obtain flag licenses when required. Provides Operations team and some of the supporting functions on the Operations floor with daily administrative support. Maintain the company ISN (training tracking) system in GOM, Mexico, Trinidad, and the CHESM (Chevron) account in the GOM. Works cross-functionally with other departments in all Operation matters.

Job Description

Key Roles & Responsibilities:

  • Marine licensing and subsequent support. Obtain Marshall Islands' CRA, AA, licenses, endorsements and SIRB's. Obtain Liberian CRA, AA, licenses, endorsements and SIRB's. Billing for Marshall Islands' and Liberian. Write letters (active and previous TOI associates) - DPO / TDPO, OIM, sea time, drug test, USCG assistance letters.

  • License verifications for HR - confirm they are valid. Verify licenses in GMS for the rigs. Upload CRA, AA, licenses, and endorsements into GMS. Complete LoD requests for TOI and 3rd parties. SIRB's for GOM personnel working outside USA (currently DTH). Provide assistance to the rigs as requested.

  • Supporting the operations team including TFS, Subsea, GOM Rigs, and Rig Accountants.

  • General office administrative responsibilities, i.e. Certified Notary for the Operation Team, coordinate meetings, which includes managing the ordering of meals, reserve conference rooms and send Outlook Meeting Notifications. Greet visitors, answer/direct incoming calls and take messages for department staff.

  • Maintain rig contact sheets, rig location sheets, and org charts. Maintain websites including emergency response SharePoint site, installation web page, ISN SharePoint site, and Gulf of Mexico web page. Maintain relationship with vendors. Update org charts, contacts, and managing training sessions.

  • Manage the ISN program for GOM, Mexico, and Trinidad.

  • Run monthly and quarterly reporting for GOM, Trinidad, Mexico, Shell, Chevron, and BHP. Maintain training documentation. Working with other departments on maintaining RAV's.

  • Working with other TOI departments on expanding questionnaires from ISN. Working with Risk management to maintain policies in ISN for insurance. For each rig contract requiring ISN ID compliance - for both TOI personnel and 3rd party vendors. Building profiles in ISN for every person that will travel to the rig. Look up required training for each person in GMS and then upload into ISN. Work with rig for each crew change to make sure that everyone is compliant.

Education:

  • 5 plus years of related experience; Preferred - Bachelor's Degree

Experience:

  • 2-5 years of administrative support experience. Substantial knowledge of office practices and procedures. Experience and understanding of marine licensing requirements.

Skills:

  • Good working knowledge of Microsoft Office

  • Extremely well organized with a high level of accuracy and attention to details.

  • Requires conceptual, practical expertise and knowledge related to marine licensing.

  • Ability to learn quickly on different systems and software.

  • Good technical writing skills.

  • Interpersonal skills to interact effectively with personnel at all levels in the organization.

  • Solves straightforward problems; analyzes possible solutions requiring using judgement and precedents.

Pre-Requisite/ Qualification:

  • Must successfully complete pre-employment drug screen.

  • Must successfully complete pre-employment background check.
