Position Summary

This position is responsible for supervising and directing key human resources and payroll support functions for the Department of Pediatrics. This position will work alongside the Manager of Payroll/HR on various projects and Workday functions.

Job Description

Primary Duties & Responsibilities

  • Supervises workflow of department payroll team; reviews and approves payroll-related business process transactions for the department. Assists in training new staff members on the team. Leads the team on lower-level projects and department initiatives.

  • Generates offer letters for staff hires, monitors the onboarding process, and meets with all new hires to ensure understanding of department policies and procedures.

  • Processes faculty and staff bonuses, on-call supplements, and various one-time payments.

  • Processes faculty and staff salary change requests and FTE changes, ensuring sufficient justifications and compliance with department policies.

  • Processes all resignations, terminations, and retirements in Workday ensuring all access is terminated appropriately.

  • Evaluates and maintains policies and procedures related to payroll, and administration to ensure consistency of practices across the Department and compliance with University guidelines and external regulatory agencies as well as efficiency and maximum automation.

  • Facilitates the onboarding process for new hires including staff, students, faculty, and fellows.

  • Assists in planning annual Faculty/Fellow orientation for the department.

  • Ensures timely review of job descriptions and completion of employee evaluations.

  • Assists Manager of Payroll/HR in annual salary planning.

  • Advises managers on visa questions and acts as a liaison between the department, Human Resources and International Office.

  • Runs and develops reports relating to payroll, FTE or demographic data. Prepares other analysis such as headcount, total compensation, etc.

Working Conditions

  • Normal business office environment. Some pressure caused by tight deadlines.

Preferred Qualifications

  • Knowledge of Human Resources policies, state and federal payroll laws, FLSA guidelines, and federal laws concerning foreign national visas and employment in the U.S.

  • Accountability and leadership experience must be demonstrated, along with the ability to exercise appropriate discretionary judgment in a politically sensitive environment.

  • Must have the ability to establish effective working relationships in the absence of direct authority. Demonstrated ability to frame analytical questions and communicate the results.

  • Ability to interact with individuals at various levels including physicians, senior university staff, hospital and health system executives and employees.

  • Ability to work independently to meet project deadlines and preserve confidential information. Ability to manage multiple tasks.

  • Strong written and verbal communication skills and excellent organizational and planning skills.

  • Working knowledge of Microsoft Office (particularly Excel) and Workday

Required Qualifications

Equivalent of a Bachelor's Degree in Business or Accounting with three to five years of related work experience.

Salary Range

$48,700.00 - $80,500.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
