Job Description Summary

The Senior Coordinator for the Career Services and Accessibility is an integral front-line team member who serves as the first point of contact for students, alumni, and families who interact with the Offices of Career Services and Accessibility Services. The individual in this position manages all day-to-day operations and provides support to the team members in both offices.

Job Description

Duties and Tasks:

OFFICE OPERATIONS

  • Manage day-to-day office operations

  • Manage main Career Services and Accessibility Services email accounts

  • Manage main Career Services and Accessibility Services phone lines

  • Recruit, hire, train, and supervise student worker team

  • Work with Director to establish and maintain standard operating procedures for both offices

  • Securely maintain all confidential files

Support for Director OF CAREER AND ACCESSIBILITY SERVICES

  • Manage Director's schedule

  • Attend meetings on behalf of Director, as needed

  • Manage office operations in Director's absence

Faculty and STUDENT INTERACTION

  • Serve as initial point of contact for all office visitors

  • Triage student and faculty concerns, solving low-level issues and elevating high-level concerns to appropriate staff

  • Discuss Accessibility Services registration process and documentation guidelines with students, parents, faculty, staff, and visitors

  • Support students, alumni, and employers in connecting via the University systems from both offices such as Handshake and AIM

BUDGET Management

  • Manage all payment for goods and services

  • Maintain updated budget balance and provide Director with monthly reports

  • Purchase all necessary office supplies

Programming support

  • Work with Career Services and Accessibility Services team to create and manage unique programming opportunities

  • Work with Director to identify training and development needs

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge:

  • [Required] High school diploma or GED

  • [Preferred] Associate Degree or higher from an accredited institution

  • Methods to deescalate situations when dealing with upset parents, students, and faculty members

  • Proven office management, administrative, or assistant experience

  • Knowledge of office management responsibilities, systems, and procedures

  • Excellent time management skills and ability to multi-task and priorities work

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills

  • Proficient in MS Office

  • Knowledge of accounting, data, and administrative management practices and procedures

  • Knowledge of clerical practices and procedures

  • Knowledge of human resources management practices and procedures

  • Knowledge of business and management principles

  • Computer skills and knowledge of office software packages

Skills:

  • High level of analytical and decision-making skills

  • Ability to rate the severity of a student/parent/faculty issue and respond appropriately

  • Strong problem-solving skills

  • Ability to make complex decisions

  • High levels of planning and attention to detail

  • Ability to manage time between a variety of projects

  • Ability to complete tasks with high levels of accuracy

  • Ability to coach students through a variety of processes

  • High levels of initiative, ability to work well without oversight

  • Ability to quickly adapt to changing situations

  • High levels of comfort working in environment

  • Strong budgeting ability (both tracking and forecasting)

  • Comfort supervising student workers

  • Skill in developing standardized process for office use

Abilities:

  • High level of comfort working with individuals with a variety of disabilities

  • Ability to serve as a point of contact for employer and community partners

  • The ability to manage individuals in crisis

  • Ability to work with both in a team and independently
