We are presently searching for a full-time Senior Contracts Administrator in the San Francisco office. As Senior Contracts Administrator, you will coordinate all Global Account Contracts management functions for our clients from the receipt of RFPs and proposals through the completion of construction. Specific responsibilities will include:

  • Requests and obtains necessary cost and scheduling data for proposal pricing including determination of appropriate cost elements.

  • Prepares quotations and proposals and submits to clients.

  • Receives, evaluates, analyzes and prepares contracts and/or subcontracts inclusive of contract terms and conditions.

  • Prepares and disseminates proper instructions and provides to the internal organization direction on contract requirements by means of issuing short contracts, work orders, AIA agreements.Coordinates and monitors.

  • Responsible for reviewing and managing master services agreements, contract / subcontract administration, follow up and general problem solving.

  • Requests, reviews and accepts all contract amendment and changes.

  • Interacts with clients and participating in contract negotiation process.

  • Leads internal team meetings with Global team.Issues meeting notes for client and / or 3 party project management firms.

  • Coordinate the contract process with Finance, Project Managers, Clients, Subconsultants and Team contracts, protocols and processes.

  • Prepare Project Information Worksheets (PIW's), Contracts, etc. under the supervision of the Project Manager.

  • Assists with the reviews of blue books with the Project Manager.

  • Possibly help file project related communications and documents electronically.

  • Tracks contract and billing status with Client procurement.

REQUIRED EDUCATION AND WORK EXPERIENCE

  • 4 year Accredited University or equivalent experience.

  • 3 5 years of contracts administration experience.

  • 1+ year accounting experience preferred.

  • Familiarity with commercial interior architecture and/or design firms preferred.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent written and oral communication skills, including the ability to draft correspondence quickly with minimum direction, and high attention to detail in composing materials.

  • Exceptional organization, planning, problem solving and follow up skills; must be proactive and take initiative to support the Accounting department; ability to prioritize their multiple projects

  • Strong interpersonal/people skills with the ability to establish and build partnerships at all levels within the organization, and externally with contractors and vendors

  • Demonstrated ability to work both independently and within a team

  • Advanced MS Office application skills.

  • Advanced verbal and advanced written communication skills.

  • Advanced analytical skills.

  • Intermediate accounting and financial forecasting skills.

  • Resourceful, problem-solver

Working Conditions:

For the majority of the time the Senior Contracts Administrator will be sitting in an office with limited physical requirements. This may require individuals to bend, stretch, twist and reach. The position is not subject to occupational and safety risks.

Duties and Responsibilities: * Prepare, redline, negotiate and manage agreements and other documents with vendors, CROs, and other third parties, including clinical trial agreements, statements of work, etc. * Maintain and manage contracts database in an organized, current, and searchable manner. * Partner closely with internal and external teams including clinical operations, and third party CROs, clinical sites, and vendors to ensure timely clinical contracts turnaround and negotiations for start-up of study sites. * Draft, redline and negotiate a variety of business related contracts including confidentiality agreements, consulting and services agreements, statements of work, material transfer agreements, collaboration agreements, advisor agreements, and various vendor services agreements in support of Calithera Biosciences, including as appropriate in collaboration with attorneys and collaboration partners. * Critically evaluate complex contractual terms, identify legal risks and propose alternate contractual solutions. * Assist with the contracts management process, including intake and triage of contractual matters, to enhance the efficient delivery of fully executed agreements. * Work independently without close supervision, proactively initiating projects and identifying ways to continuously improve templates, streamline processes and operations while exercising strong judgment. Qualifications and Requirements: * Bachelor's degree required. * At least 10 years of relevant experience as a contracts associate/ manager and/or corporate paralegal, including in-house in the biotech, pharmaceutical or related industry. * Excellent project management and record keeping skills. * Extensive experience drafting and negotiating a wide range of agreements. * Experience managing a contracts database and related projects within an organization. * Strong organizational and planning skills and a meticulous attention to detail. * Ability to effectively prioritize and multi-task, and remain focused in a fast paced, high volume work environment. * Self-motivated and able to work independently while exercising initiative, flexibility and good judgment with a desire to identify needs, improve and streamline processes.
