Description:

Provide administrative, financial and operational support to units under the College of Engineering. This position will support business operations and services administered by the college's Business Office including but not limited to high-level financial reporting, transaction processing, facilities management, and day-to-day operations.

Duties & Responsibilities:

Prepare financial reports and reconcile expenditures for all fund types within College of Engineering units Participate in budget development and/or strategic fiscal planning including tracking expenses and trends in expenses Coordinate the development and implementation of operational policies and procedures including distribution of information regarding changes in policies, procedures and requirements relative to business and fiscal operations. Process and submit purchase requests, contracts, reimbursements, travel arrangements and miscellaneous payments, using iBuy, Chrome River and other University systems Act as the liaison with University Payables (UPAY) and Purchasing to resolve vendor payment issues and open encumbrances_x000d_ Act as Department Card Manager and administers the Purchasing Card (P-Card) and Travel Card (T-Card) programs, Coordinates and completes year-end close out.

Act as liaison with UIC Accounting for fund discrepancies, fund set up and budget transfers Oversee unit's space usage, maintain inventory, and manage day-to-day activities related to facilities, office supplies, housekeeping, telecom and building access, etc. Coordinate reporting activities including preparing the annual Activity reporting System (ARS) Supervise, train and coordinate activities of assigned personnel Perform other related duties and participate in special projects as assigned.

Minimum Qualifications Required:

1.A. Bachelor's degree in accountancy, business administration, management, or a closely related field.

OR

B. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.

OR

C. A combination of such education and/or work experience above totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)

AND

2.Two (2) years (24 months) of work experience in accounting, business administration, financial operations, fiscal management, or closely related experience, including one (1) year (12 months) of which is at a supervisory or administrative level.

NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.
