Hanover is looking for a Senior Benefits Specialist who will be responsible for administering employee benefit programs including: medical, dental, vision, life insurance, disability, 401(k), and wellness benefits. In conjunction with the VP - Human Resources, the Senior Benefits Specialist will be responsible for researching, evaluating, and preparing recommendations for senior management, and implementing the approved benefits options offered to Hanover employees. The Senior Benefits Specialist will also be responsible for participating in and supporting HR Department initiatives, events and activities (i.e. team-building, corporate events, holiday parties).

Job responsibilities include, but are not limited to:

Program Administration

  • In conjunction with the VP - Human Resources, implements benefits program strategic initiatives.

  • Partners closely with Hanover's external Benefit Consulting Firm to ensure plan designs, disease management, care management and wellness initiatives deliver improved health outcomes and quality of care.

  • Acts as the primary contact for Health and Welfare Benefits Consultant, third-party administrators and other benefit vendors as needed.

  • Reviews biweekly payroll files to ensure proper deductions, 401k loan processing and benefit changes.

Communication and Outreach

  • Develops targeted communication strategies and supporting materials reaching all jobsite employees.

  • Coordinates communication campaigns i.e. mail-order pharmacy program, preventive visit incentives.

  • Administers monthly benefit electronic newsletter.

  • Conducts both in-person and remote employee benefit seminars during New Hire Orientation.

Financial Analysis and Reporting

  • Utilizes benefit reports and data to understand and monitor enrollment, claims and all financial metrics.

  • Processes all health and welfare benefits bills

  • Interfaces with Accounting Department to ensure proper allocation revenue and billing.

Claims Resolution and Employee Support

  • Handles escalated benefit inquiries and issues by interpreting benefit policies and procedures.

  • Manages claims exceptions and prior authorization process.

Open Enrollment and Ongoing New Hire Enrollment

  • Manages the open enrollment process including configuring UltiPro, conducting enrollment meetings, processing enrollments and ensuring successful data transmission to all vendors.

  • Conducts one-on-one and group enrollment meetings.

  • Identifies ways to connect with Hanover employees and provide extraordinary service and support.

System Support and Data Transfer

  • Coordinates transfer of data to external vendors, plan providers, auditors and consultants.

  • Maintains UltiPro web page providing digital support materials.
    401k Support

  • Assists VP - Human Resources with bi-annual 401k Committee Meetings, annual discrimination testing, coordination of the annual 401k audit and Form 5500 filing process.

Leave Administration, Short Term Disability

  • Ensures effective administration of internal company leave programs and ensures compliance with FMLA.

  • Coordinates leave with disability programs available.

Health Savings Account and Flexible Spending Account Management

  • Administers HSA Bank employee and employer contribution funding process.

Compliance

  • Oversees all benefits compliance related to federal, state and local legal requirements including ACA, HIPPA, ERISA, PCOR Fee, Form 5500, FSA discrimination testing.

  • Responsible for annual notice distribution for Section 125 Plan and 401k Plan.

  • Responds to annual compensation surveys.

  • Completes EEO-1 reporting.

Education, Qualifications and Experience

  • Bachelor's Degree in Business Administration or related degree, HR preferred.

  • 3-5 years' benefit administration and/or benefits consulting experience required.

  • Must have high level of enthusiasm and strong presentation skills.

  • Must have strong project management skills.

  • Experience working with vendors.

  • Must be a strong team player and willing to assist with HR-related projects and activities.

  • Must be a self-starter with the ability to communicate effectively both orally and in writing.

  • Strong oral and written communication skills.

  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements affecting employee benefit programs, including ACA, ERISA, COBRA, FMLA, ADA, SECTION 125, Medicare, COBRA, and Social Security and DOL requirements.

  • Strong data analytics skills.

  • Knowledge of MS Word, Excel, Power Point.

  • PHR, SHRM-CP or CEBS Certification preferred.

  • Prior experience with Ultimate Software preferred. Proven experience with online benefit systems.

VIEW JOBS 1/24/2020 12:00:00 AM 2020-04-23T00:00 SENIOR BENEFITS SPECIALIST SUMMARY Reporting to the HR Service Center Manager, the Sr. Benefits Specialist is responsible for the oversight, administration and compliance of established US health and welfare benefits and leave of absence programs and for the development and recommendation of new programs and plans. The Sr. Benefits Specialist is responsible for providing technical support and daily administration of Core Laboratories' US benefit programs. The role actively directs the activities related to the planning, design, implementation and administration of benefit plans, providing guidance and assistance to all domestic locations regarding benefit plans and programs. The role provides project management oversight and execution of all US benefit projects including plan compliance corrections as needed. ESSENTIAL DUTIES AND RESPONSIBILITIES * The primary job responsibilities include, but are not limited to the following: * Provides leadership and direct oversight to the administration of US company-sponsored health and welfare benefit plans and leave of absence programs in compliance with legal and regulatory requirements. * Responsible for ensuring compliance with applicable State and Federal regulations, including ERISA, FMLA, ADA, government regulations and local statutory requirements. * Responsible for oversight and execution of day-to-day administration and operational compliance of the health and welfare plans and leave of absence programs, including acting as primary contact to the vendors/service providers associated with the operation of these plans, to ensure activities such as eligibility data, contributions and data interfaces are timely and accurate and all plans are fully compliant with government regulations. * Manages annual enrollment for the plans including redesign of programs, implementation of new programs, project management and communication to employees. * Partners with payroll to provide new hire orientation including preparation and delivery of presentation outlining the benefit programs offered. * In collaboration with other Benefits staff, works with third-party vendors to prepare and submit data files and internal reporting for Form 5500 filings, ACA reporting, annual compliance testing and year-end data collection. * Performs short range cost estimates, long range projections and relevant statistical analyses regarding modifications to existing benefit programs and implementation of new programs. * Ensures processes are effective (i.e. producing the intended outcome) and efficient (i.e. producing the outcome with a minimum amount of time and effort) by providing feedback and coaching to Benefits staff. * Drafts communications to employees and managers regarding benefit plans and policies including creative solutions to engage participation. * Performs other duties and special projects as assigned using independent judgement to accomplish objectives. CERTIFICATES, LICENSES, REGISTRATIONS Certified Employee Benefits Specialist (CEBS) and/or Certified Benefits Professional (CBP) preferred. LANGUAGE SKILLS Ability to read, comprehend and interpret information. Ability to develop and write correspondence which can be disseminated to executives and employees. Ability to effectively present information in one-on-one and group situations. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure including foreign currencies, using whole numbers, common fractions, and decimals.
