This position is responsible for preparation for Corporate Deal Approval meetings, which encompass all platforms (Malls, Mills and Premium Outlets), as well as Executive Account Meetings. This includes preparation of supporting reports for the meeting, review of deal content and processing post meeting results.
This position is responsible for performing analytical review on deals that are ready for execution. Review SSLE to ensure all necessary approvals have been obtained, route the documents to senior management for signature and ensure that the documents have been reviewed when sending to central files for scanning.
Timeliness of approvals, accuracy of key items and maintenance of the data is a direct result of this position's ability to analyze information in SSLE and CTI and determine next steps in order to expedite the execution of all lease documents. These duties not only have a direct impact on the lease process, but they are integral to the information flow for several departments, including, but not limited to Leasing, Legal Leasing, Tenant Coordination, Accounting and Financial Operations.
The successful candidate's responsibilities will include, but not be limited to:
1.Perform analytical review of documents and correspondence as it relates to SSLE and TAP to ensure accuracy and that corporate guidelines have been met.
SSLE reflects the necessary approvals / re-approvals.
SSLE fields match what exists in the legal documents. Communicate with Legal and Leasing to enact the resolution or escalate as applicable.
Facilitate documents for execution
Perform quality checks on leases prior to sending to central files.
2.Assists with preparation for Corporate Deal Committee and Account Committee Meetings; followed by processing and publishing of the meeting results
3.Perform approval milestoning of deals in SSLE based on direction from Lease Services Management.
4.Perform analytical review of SSLE data. Such review provides for effective departmental communications and timely access of the information, improved quality of the data, ensures that the necessary departments are focusing on those deals which are priority, and most importantly, provides for preventive measures of future issues. This type of review greatly also assists with the quality of data eventually extracted into other systems/reports as well (i.e., GURU) minimizing the amount of additional work for other departments (i.e., Financial Reporting and Leasing).
5.Understand how to utilize the systems to identify those deals in process which are not yet executed and perform analytical review to determine which deals are in jeopardy of not meeting Estimated Delivery Dates, why they are in jeopardy and performing the necessary steps to resolve the issues to get the deals back on track to meet EDDs or Required Commencement Dates. This type of review greatly assists with the quality of data eventually extracted into other systems/reports as well (i.e., GURU and Cognos), minimizing the amount of additional work for other departments (i.e., Financial Reporting and Leasing).
6.Provide guidance to all departments with the use of SSLE and related databases to facilitate prompt system issue resolution.
7.Develop and maintain written procedures for all tasks that streamline the workflow while maintaining accuracy of the data.
8.Act as a backup to the Sr Leasing Assistant, for the various systems reports assigned to that position.
9.Other duties as assigned.
Bachelor's Degree in Business
