How we LEAD:

We are currently seeking an exceptional Senior Analyst for our Vendor Management Office (VMO). The VMO's guiding principle is to support UMG in obtaining the greatest value from our vendors through appropriate structuring of contracts, and contracts management combined with compliance and spend reporting.

This position reports to the Senior Director and is responsible for supporting the VMO and our U.S. business units with the operational aspects of vendor oversight and contracts management, and in finance projects.

The position requires a wide-ranging skill set for learning and navigating software applications, mining data and presenting findings to business teams.

Role may require travel to Woodland Hills, CA and/or Santa Monica, CA office on an occasional basis for staff/client/vendor meetings. Hybrid work permitted for all other days.

How you'll CREATE:

Vendor Management

  • Become an expert in the SAP Business Objects reporting tool to facilitate on demand, ad-hoc and periodic spend reporting

  • Obtain spend data from SAP per given parameters, format spreadsheets and perform analysis to verify data integrity

  • Gather and present specific vendor data (invoices, contracts, contacts, rates, terms, etc.) to support special projects

  • Maintain integrity of the vendor classification process and work with local and international teams to upload classification data to SAP monthly

  • Support vendor risk analysis using external tool (Refinitiv) and internal (SAP), guided by Compliance-led business processes

Contracts Management

  • Learn to administer the UMG contract lifecycle management (CLM) software (Icertis). Perform configuration steps as needed

  • Collect contract files from internal UMG teams and prepare excel uploads of contracts data

  • Maintain data integrity of contract metadata entering CLM database through checks and validation with SAP source data

  • Work with CLM software vendor to resolve internal support tickets

  • Assist and participate in all CLM-related department led projects

Administrative Support

  • Maintain & distribute project plans using Monday.com

  • Collect weekly staff meeting topics, prepare agendas, take, and distributes meeting minutes; follow-up on open items as needed

  • Maintain shared file management integrity ensuring version control and naming conventions

  • Act as a second pair of eyes for editing/review of written reports and analytical data

  • Ensures organizational integrity of the shared email inboxes is being followed

Special Projects

  • Provide support to finance management on various projects including documenting business processes and generating workflows

  • Prepare and occasionally present PowerPoint presentations for senior management

  • Provide support for meetings, including coordinating schedules and booking calendars, preparing agenda, taking and distributing meeting minutes and following up on open items as needed

Bring your VIBE:

  • BA/BS degree in a technical/business-oriented field (e.g., Business, Computer Science, MIS, other related degrees) required

  • 5 years minimum relevant experience in corporate business analysis and finance support

  • Experience in Vendor Management. Sourcing or Procurement, preferred

  • Strong analytical background, comfort with data-oriented products & structured problem-solving capabilities

  • Self-starter with meticulous attention to detail, yet have the capacity to multi-task, prioritize and juggle competing priorities

  • Interact confidently and effectively with all levels at UMG and externally with vendors as required

  • Strong independent problem-solving and communication skills to research issues and perform special project tasks as needed

  • Preferred experience with SAP BW or Business Objects reporting

  • Desired experience with contracts management software (Icertis, DocuSign, etc.)

  • Collaboration tools savvy: Monday.com, Teams, Zoom, OneDrive, SharePoint

  • Demonstrated ability to quickly gain proficiency in multiple proprietary systems (i.e., UniPort, SAP, etc.)

  • Expert Excel skills and advanced proficiency in Office tools: Word, PowerPoint, Outlook

  • Intermediate to Advanced skills with the following applications preferred: Tableau dashboarding, Visio
