The University of Tennessee Foundation, Inc (UTFI) invites applications and nominations to fill the position of Senior Advancement Assistant, College of Arts and Sciences for the University of Tennessee, Knoxville. Reporting to the Executive Director for Advancement for the College of Arts and Sciences, the position supports four advancement directors and serves as a liaison for assigned advancement staff, campus and system personnel, and external constituencies of the university, such as donors, community and business leaders, corporate vendors, alumni and friends of the university.
The purpose of this position is to contribute to the advancement efforts for the College of Arts and Sciences by providing administrative support and stewardship/donor relation activities to the advancement team for the college, including travel planning and processing, budget monitoring & reporting, board meetings & committees, and the yearly Alumni & Philanthropy Awards. Job responsibilities include, but are not limited to:
Administrative Coordination and Support: Manage and maintain the Executive Director's calendar, including scheduling meetings, preparing travel itineraries, processing travel expenses, and reconciling the department budget ledger. Assist in scheduling and notetaking for board and committee meetings and support ACE donor database updates and processes.
Event Management: Assist with the planning and coordination of donor recognition events, the Dean's Advisory Board semi-annual meetings, the annual Alumni & Philanthropy Awards, regional development receptions, and the distribution of football tickets for alumni and donors.
Office Operations: Serve as the first line of customer service for visitors and phone calls, manage mail sorting, order office supplies, handle facilities and parking requests, perform onboarding and exiting activities for employees, maintain office equipment and assist with scheduling and communications for monthly regional staff meetings.
Required Education and Experience
The candidate who fills the Senior Advancement Assistant position is required to have:
High School degree or equivalent with 5 years of office experience OR business/technical school credential with 3 years of experience
Computer skills including Microsoft Office(Word, Excel, PowerPoint), Adobe Acrobat, and IRIS or other financial system
Excellent interpersonal skills and communication skills; commitment to professionalism and customer service
Event/meeting coordination and planning experience
Attention to detail with the ability to work in a fast-paced team-oriented environment
Preferred Education and Experience
In addition to meeting the required qualifications, the preferred candidate will have:
Bachelor's degree
Direct advancement experience
