We are seeking someone with senior/executive level administrative experience to join the Business Support Services (BSS) team as a Senior Administrator in our New York City, NY office. The ideal candidate is motivated, flexible, and energized by providing top-notch client service.

This full-time position is primarily responsible for the project coordination and administrative support of three Principals in a fast-paced, client-focused environment. As a Senior Administrator, you will be accountable for assisting the Principals by facilitating their various day-to-day administrative responsibilities as well as providing a wide range of support to their projects, teams, and practice areas.

This position takes day-to-day direction from the Principals and reports to the Business Support Services Manager. The Senior Administrator is a member of the Business Support Services team, provides back-up support to our other administrative assistants, as well as general administrative support as needed.

Some of the day-to-day responsibilities of this role include:

Handling the administrative details of all projects including coordination with clients and internal departments on items such as contracts, confidentiality agreements, IT needs, and billing;
Independently managing project budgets and determining final monthly billing, including write-offs and holds, with little to no Principal approval/oversight when needed;
Support Principals' firm duties by acting as key point of contact for Corporate Services (CS) groups to ensure Principals' corporate administrative obligations are met and best practices are followed - always keeping Principals informed of issues and changes
Coordinating domestic and international travel for Principals and their project teams;
Managing Principals' day-to-day schedule and tasks while maximizing their time and efficiency and keeping their calendars updated;
Preparing and submitting all expense reports on Principals' behalf;
Coordinating all meetings including providing catering and meeting/IT set up as needed;
Identifying 'value add' opportunities and delivering administrative support in a proactive manner;
Researching and identifying external targets for monthly Business Development purposes including outreach and meeting scheduling; and
Providing general support to other parts of the business as needed.


The position requires demonstrated organizational, time management and communication skills, as well as the ability to prioritize and execute numerous projects and deliverables. The ideal candidate will be a self-directed individual who thrives in a dynamic environment that also provides autonomy and accountability.

Other requirements include:

Bachelor's Degree preferred; will consider experience in lieu of degree
Requires a minimum of three (3+) years of executive/senior-level administrative experience and project coordination, preferably in a consulting firm, or similar professional services firm
Ability to thrive in fast-paced office environment handling multiple tasks and demands concurrently
Must be able to work independently and exercise appropriate judgment as necessary and elevating as required
Advanced knowledge of Microsoft Word, PowerPoint, and Outlook is required, solid understanding of MS Excel expected;
Database and budget tracking experience desired;
Ability to effectively manage time across all projects and deliverables;
Ability to thrive in fast-paced office environment handling multiple tasks and demands concurrently
Uphold confidentiality of firm and client information
Acute attention to detail skills and ability to produce visually appealing error-free work;
Ability to adapt easily to change;
Ability to work overtime, including night and weekend work as necessary
