Olin Epoxy, a division of Olin Corporation, is seeking a Senior Administrative / Cost Tracker Specialist, located in Freeport, TX. This position will provide administrative support to multiple plants and business leadership.

Essential Job Functions:

  • Create Leadership budget monthly summary reports.

  • Lead cost tracking efforts in SAP for multiple cost centers and plants. Ensures accruals are appropriately entered and tracked through the billing process.

  • Participate in month-end-closing activities supporting Lead Production Data Analyst, plant engineers and accountants to ensure accurate and timely monthly closing.

  • Manage and coordinate the department's document review process consistent with Olin Management System requirements.

  • Maintain the department's electronic file share and its structure.

  • Manage paper and electronic documents within records retention guidelines.

  • Assist in the Action Management Tool (AMT) and Management of Change (MOC) Tool processes.

  • Procure materials to manage supply inventory for several plants.

  • Complete special projects by organizing and coordinating information and requirements, planning, arranging and meeting schedules, and ensuring objectives are met.

  • Provide historical reference by developing and utilizing filing and retrieval systems.

  • Improve program and service quality by devising new applications; updating procedures; evaluating system results with users.

  • Maintain continuity among corporate, division, and local work teams by documenting and communicating actions, irregularities, and continuing needs.

  • Maintain professional and technical knowledge; benchmark professional standards; review professional publications; establish personal networks.

  • Support Epoxy Sr. Production Leader objectives and activities through scheduling, surveying, and tracking key Operation's Site metrics.

Position Requirements:

  • Associate's degree* in business related field required; Bachelor degree in business related field preferred

  • Minimum 2 years of experience in an Administrative support role and Project Cost Tracking

  • Demonstrated proficieny in SAP Report Analysis and Microsoft Office Suite (Word, Excel, PowerPoint, and Visio)

  • Demonstrated proficiency managing and delivering exceptional guidance related to consistent people leadership.

  • Demonstrated ability to successfully identify, and collaborate to effectively and efficiently analyze and resolve problems

  • Demonstrated ability to effectively lead and manage projects and initiatives

  • High level of initiative; requires minimal direct supervision and can independently plan, organize, communicate, and solve problems

  • Ability to draft clear communication plans and paths

  • Reliable self-starter

  • Degree must be from a school that is accredited by an accrediting agency recognized by the Secretary of Education of the U.S. Department of Education

The person in this role will provide administrative support to the R&D Director for E&PS. Further, the role will also support select Research & Development (R&D) leaders. In addition to supporting R&D Leaders the person in this role will set up expense & capital purchase orders, authorize payments, track spending and invoices, and manage file share permissions and documents. Key roles include: * As an Admin Leader in E&PS, lead the E&PS admin team and provide administrative assistance to R&D Director and several R&D Leaders in Core R&D Engineering & Process Science for the TX location by anticipating needs and taking appropriate action to effectively manage daily responsibilities (e.g. calendar, travel & expense, organization/preparation/consolidation/coordination of input and activities to meet deadline commitments, facilitate and attend leadership meetings, including global meetings). Requires a clear understanding and active awareness of the Core R&D Engineering & Process Sciences organizational structure, activities, and initiatives. * Provide office professional support to group members as needed – calendars, meeting arrangements, and travel arrangements. Serve as a Senior Admin in the LJ, TX area for Core – coaching, mentoring, and participating on the Site Admin team. * Participate as an active discipline team member. Working both independently and in cooperation with other team members to complete projects and assignments in a timely manner. * Lead and participate in the Engineering & Process Science Administrative Assistant Team to identify, develop, and implement work process improvements across all disciplines. Initiate 1:1 meetings with admin team, and collaborate and network across different capabilities. * Assist with planning of global meetings (e.g. including teleconferencing, WebEx, and videoconferencing often involving multi-site and off-site events. Also responsible for finalizing meeting arrangements for on- and off-site meetings, assist with agenda preparation, record and distribute meeting minutes). * Responsible for processing and maintaining up-to-date personnel information (e.g. distribution lists, file servers, building list, organizational chart, etc.). * Responsible as an Administrative Assistant contact for special assignments such as North American campus hiring for the capability, etc. * Effectively network with all office professionals within R&D (across global business) and local site administrative team to meet deadlines, complete projects, implement global work process improvements, share key learnings, and provide back-up support assistance when needed. * Organize and independently manage the details of internal meetings, external events and domestic/international travel itineraries.
