Education:

  • High School diploma or GED

Basic Qualifications:

  • 1 year experience in an administrative role;

Preferred Qualifications:

  • Associate degree from an accredited school preferably in business;

  • Experience with ISO Management Systems;

  • Experience in a manufacturing environment.

Howmet Fastening Systems is looking for a Sr Administrative Support candidate to perform highly responsible administrative duties having a significant degree of complexity. This position reports directly to the Director of Operations of the Kingston, NY facility.

Job duties and Responsibilities:

  • Perform complex administrative work requiring use of personal computer and various types of office productivity software (such as Excel, Word, PowerPoint, Access, Notes) and enterprise requirements planning software (such as Oracle, LN, SAP);

  • Maintain databases and establish procedures for ready access by authorized users while ensuring that proprietary information and intellectual property in the possession of the location is protected from unauthorized access;

  • Ensure ISO Quality and Environmental document control system is maintained with up-to-date procedures, work instructions, form, etc. Work with document owners to ensure timely updates are completed;

  • Working with EHS department, extract and consolidate relevant data to prepare regularly scheduled reports on operational achievements relative to targets, identifying key data which will support management understanding of, and responding to, such data;

  • Participate in planning and implementation of agenda and supporting activities for location visits by company executive and customer representatives. Ensure visitor/contractor orientation is completed and up to date prior to admittance into the facility;

  • Receive telephone and email business inquiries, determine appropriate routing and follow-up as required with the designated individual or group to ensure timely attention to such inquiries;

  • Maintains record retention program for all applicable documents. Coordinate both on-site and off-site storage process while ensuring that proprietary data is protected and is available for use in support of daily operational requirements;

  • Perform telephone switchboard duties such as screening calls to determine correct routing, directing them to proper company representatives and deflecting nuisance calls. Acts as back-up for Customer Service when required;

  • Provides training to others in areas of assigned expertise;

  • Internal auditor for ISO and Howmet internal audit programs. Maintains document control system ensuring documents current and in compliance with policies and procedures. Participate in development of corrective action plans if deficiencies are identified;

  • Perform other duties as assigned.

Annual Salary range $45,000 - $55,000
