Liberty Mutual Investments is seeking a Receptionist to join our Administrative Services team. This position will be an integral part of a two-person team responsible for administrative support within Reception Services. This role will serve as the face of the firm by welcoming all guests and clients as they arrive, managing a busy front-desk phone, and maintaining the organization and cleanliness of the reception area. The ideal candidate for this Receptionist role must have strong communication and people skills.

The person in this role will report to the Administration Operations Manager and will be responsible for working the scheduled hours of 8:30am 5:00pm, Monday through Friday, working collaboratively and effectively in a job share with a Receptionist who works 7:30am 4:00pm.


  • Greets and directs all visitors, as appropriate, concerning activities and operations of department/ division

  • Ensure seamless coverage of the highly visible reception desk at all times

  • Answers, screens and routes telephone calls. Resolves routine and non-routine administrative problems and answers inquiries

  • Sorts, screens, and distributes incoming and outgoing mail; prepares photocopies, and operates a variety of office equipment

  • Inventory, order and maintain supplies for all floors

  • Provide backup and ad hoc support of Executive Assistants

  • Covering other reception areas as needed

  • Organizing the reception area as well as various collaborative areas

  • Maintains/updates staffing lists, organizational charts, employee contact information, department newsletter, etc. Assists with new hire setup/onboarding and training coordination. May act as office/department safety contact and provide support to business continuity work

  • Take initiative to assist colleagues and clients when the need arises

  • Provide logistical support of Investments conference space

  • Completing and taking ownership of all other tasks and projects as assigned


  • 4 years of Administrative experience or Bachelor's degree

  • Previous experience in an office setting as a Receptionist or Administrative professional

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Strong customer service skills

  • Professional demeanor with strong people skills

  • Excellent written and verbal communication skills

  • Ability to work effectively and collaboratively as part of a job share, sharing administrative responsibilities as part of a team of two receptionists

  • Outstanding thoroughness, attention to detail, and accuracy in work product

  • Thrive in fast-paced, deadline-oriented environment while maintaining superior time management, prioritization, organizational and multi-tasking skills, with a proactive and anticipatory attitude

  • Ambitious with a can-do attitude that takes pride in exceeding customer expectations

This job PRINCIPAL DUTIES AND RESPONSIBILITIES: * Performs administrative duties under minimal supervision at the highest proficiency level. * Possesses the ability to problem solve and determine best course of action with little direction. * Acts as a lead, assigns and prioritizes workflow, troubleshoots issues, and provides backup support for the Division Administrative and Financial & Administrative Manager. * Works on projects, coordinates work, takes initiative using all available resources, follows through on issues when needed, applies knowledge as appropriate with little direction from Supervisor. * Assists with training and orienting of Administrative Assistant staff members as needed. * Provides cross coverage as needed. * Manages clinical provider's calendars for meetings, vacations, travel, etc. * Handles all aspects of patient appointment scheduling and follow-up for Dana Farber / BWH Hematology patients, as well as for Dana Farber Anti-Coagulation Clinic patients. * Responsible for checking that lab tests are scheduled and ordered appropriately, coordinating retrieval of test results, and acting as the point person for patient testing logistics. * Works closely with DFCI AMS clinical staff to maintain the AMS computer database and creates monthly and quarterly reports. * Provides administrative support to Hematology staff (filing, photocopying and preparing and proofreading correspondence, reports, etc.) * Provides secretarial support to Hematology clinical and administrative staff as requested. * Manages clinical provider's CV (curriculum vitae). * Assists in the development and maintenance of Office Policies and Procedures. * Follow HIPAA guidelines for the management of patient privacy and confidentiality. * Other duties as assigned. Level of education required: * Minimum of a high school diploma or GED. Work experience required: * Minimum three years medical office or administrative support experience required. * Some additional training in office systems or other post high school education preferred. Associate's Degree or higher level education preferred, but not required. SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: Technical skills required: * Knowledge of practice operations and standards. * Understanding of procedures including filing, copying, scanning, printing, and faxing. * Highly proficient in all communication skills (phone, verbal and written).
