Reporting directly to the Principal Investigator's for the Loyola Marymount University California World Languages Project (LMCWLP), perform a variety of administrative and financial duties.

Position Specific Responsibilities

  • Independently administer day-to-day activities of the LMCWLP programs, identify and execute tasks and objectives, make recommendations that impact procedures and programs, and assign resources to achieve the goals of CWLP.

  • Collect necessary data and analyze the data to create reports to achieve the goals of the program or function.

  • Represent LMCWLP within LMU. May also represent LMCWLP to external/internal stakeholders and constituencies such as partner districts and schools.

  • Organize and/or participate in outreach activities that may include developing communications and training for language teachers, planning/promoting events and/or conferences.

  • Manage the tracking of program participants as they enroll in our programs. This involves tracking payments (personal payment and invoicing school districts), enrollment status and payment for participants wishing to earn continuing studies units.

  • Manage the continuing studies units. This involves collecting participant data, payments and communicating with past participants and Continuing Studies/LMU Extension Office to assist with transcript issuance.

  • Responsible for the social media management of LMCWLP. This includes, but is not limited to LMUCWLP website, program publicity, and social media.

  • As needed, supervise student assistants, to perform various tasks and assignments.

Requisite Qualifications

  • Typically a bachelor's degree or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes, in particular in higher education.

  • Minimum of 4 years administrative/ secretarial experience; preferably in an academic environment in progressively responsible positions.

  • Basic knowledge of office machines, word processing, spreadsheets, email and databases. (Word, Excel, PowerPoint and Keynote). Demonstrated communication and interpersonal skills. General knowledge of standard office procedures.

  • Demonstrated knowledge in the areas of: Modern office practices and procedures, telephone and computer techniques, electronic filing systems, and learned knowledge of university policy and procedure.

  • Exemplary communication skills (both written and oral) evidenced by background in preparing comprehensive reports and executive summaries incorporating complex, and highly technical information.

  • Highly developed organizational and leadership skills.

Salary range

$20.43 - $30.08 Salary commensurate with education and experience.
