The Special Events Coordinator plays a vital role in supporting the operational effectiveness of the University Advancement Special Events team.

Position Specific Responsibilities

  • Provide administrative (Plan, coordinate, and schedule meetings; maintain calendars; make travel arrangements; take meeting notes, submit expense reports; and perform a variety of other administrative duties) and operational (data entry, vendor relations, customer care, logistical support, overseeing event set-ups and strikes, vendor research, processing event gifts, generating reports, and perform a variety of other operational duties) support. Liaise with Marketing and Communications, Advancement Information Services, and campus partners when applicable. Staff and support various events on and off campus, including some evenings and weekends. (65%)

  • Serve as one of the registration leads for the department which entails building registration sites, tracking event participation, registrant troubleshooting, updating email communication schedules, and copyediting. (30%)

  • Perform other duties as assigned. (5%)

Requisite Qualifications

  • Typically a bachelor's degree in a related field or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

  • Four years of related job experience providing administrative and/or operational support, preferably in an event-related industry.

  • Knowledge of event planning (site selection, vendor selection and management, registration management, event safety, and risk management) and industry trends.

  • Demonstrated knowledge in the areas of: Customer service standards; telephone etiquette; modern office practices and procedures; and office equipment usage. Excellent written and verbal communication skills.

  • Excellent creative thinking, planning, execution, organization, and multitasking abilities.

  • Ability to remain calm and professional in a fast-paced, rapidly evolving, deadline-driven environment.

  • Ability to focus on details, prioritize, pre-plan, and meet tight deadlines.

  • Must be a self-starter and able to work independently, and as part of a team.

  • Must be a good problem solver and an intuitive thinker.

  • Ability to work with highly confidential information with discretion and a strong sense of protocol in communicating with prominent individuals and showcase great customer service skills.

  • Highly proficient with Microsoft Office Suite (including Word, Excel, Outlook, and PowerPoint), social media, Content Management Systems (CMS), and Donor Management Systems, as well as experience with task management or project management systems, such as Smartsheet. Cvent experience a plus.

Reasonable Expected Salary: $25.00 - $26.44/hour
