Provide a high level of general administrative support for the Department of Physics, the Environmental Science Program and the Coastal Research Institute within the Frank R. Seaver College of Science and Engineering.

Position Specific Accountabilities

  • Perform administrative duties in support of the Department of Physics, the Environmental Science Program and the Coastal Research Institute in functional areas including, but not limited to: data entry; drafting correspondence, scheduling appointments, coordinating meetings and events, and taking effective meeting minutes.

  • Employ knowledge of university policies and procedures to address questions and concerns raised by LMU community members, prospective students and visitors.

  • Assist in purchasing and expense reporting for the department and program, using University software. Review and process invoices for payment as requested. Track and maintain inventory of office and instructional supplies.

  • Manage incoming and outgoing mail, including hand-deliveries, as needed. Ensure neatness and organization of the general office area and mail station.

  • Maintain confidential, technical and personal faculty, staff and student information in departmental files and databases.

  • Coordinate programs, events, or conferences by arranging venues and catering, registration, promotion and budgeting, etc.

  • Operate and maintain office machines. Troubleshoot issues through service calls and communication with Information Technology Services, Facilities Management and other campus support offices. Keep Department Chairs and Program Directors apprised of maintenance issues.

  • Assist with scheduling of classes and classroom usage.

  • May hire and supervise Work-Study students to support the above activities, as appropriate. Support faculty with hiring and timecard approval of Teaching Assistants.

  • Perform other duties as assigned or requested within Seaver College.

EXPERIENCE/QUALIFICATIONS:

  • Minimum of 4 years administrative experience with increasing responsibilities; academic environment experience highly desirable. Ability to interact proficiently with students, faculty, and other staff members.

  • Demonstrated excellence in communication skills, both written and oral.

  • Advanced knowledge of and competency with Microsoft Office Professional systems and demonstrated expertise with data management in Microsoft Excel; ability to learn new computer applications under the provision of employer-provided training.

REQUIRED EDUCATION:

  • Typically a Bachelor's Degree and/or equivalent work experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

Salary range

$20.43 - $30.08 Salary commensurate with education and experience.
