The Senior Administrative Coordinator II works under direction and coordinate administrative support for Academic Affairs to include the exercise of discretion and independent judgement with respect to matters of significance.

Required Education and Experience:

  • Bachelor's degree in applicable field or equivalent combination of education and experience

  • Seven years of experience in office administration

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications

  • Effective verbal and written communication skills

  • Strong interpersonal, leadership, problem solving, and organizational skills

  • Maintains attention to detail and utilizes sound judgment

  • Ability to multi-task and work cooperatively with others in a high throughput environment

Responsibilities:

Executive Assistant to the Senior Associate Dean for Faculty Affairs

  • Serves as the executive assistant to the Senior Associate Dean for Faculty Affairs.

  • Assists in the coordination of daily workflow between the two offices overseen by the SADFA, and the resolution of complex, highly sensitive and confidential matters.

  • Maintains high-level interactions with the department, college, and university communities, and assists with highly confidential academic administrative matters of critical importance to the college. Drafts and manages correspondence and communications.

  • Provides administrative task support for the School of Medicine Office of Faculty Affairs.

  • Serves as an initial contact for School of Medicine campus requests and email requests through central account.

  • Collaborates with departments in the School of Medicine.

  • Provides administrative and logistical support for faculty committees, which includes creating surveys, distributing them appropriately and analyzing data; scheduling committee meetings; and taking minutes.

  • Coordinates travel arrangements and prepares itineraries for department leadership.

  • Coordinates meetings, seminars, and other special events.

  • Manages the Senior Associate Dean and Director's calendars.

  • Participates in the planning and execution of administrative operations and technical procedures. Establishes goals and objectives of administrative operations. May assists in the development of administrative operations and making improvements and adjustments to methods and procedures.

  • Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions. Analyzes internal processes and times lines; recommends, develops and implements procedural or policy changes.

  • Monitors compliance with policies and procedures.

  • Performs special analyses and project summaries.

  • Prepares and reviews operational and special reports.

Logistical Support for Affiliate Faculty Portal

  • Assists with monitoring and processing affiliate faculty action items.

  • Prepares annual letters/ update administrative appointments throughout year.

  • Attends departmental meetings and works with Faculty Affairs leadership work with School of Medicine Faculty Affairs Director/leadership during Promotion period for affiliate faculty.

Office Management

  • Serves as ALT-APO for the school's office of faculty affairs.

  • Arranges for facilities services for faculty affairs offices, including surplus and purchasing.

  • Oversees purchasing and invoicing for department.

  • Assists with yearly budgetary and contract processes.

  • Prepares vouchers, purchase orders and requisition and coordinates with department accounting personnel and other support staff.

  • Formulates, interprets, and/or implements management policies or operating practices.

  • Supervises assigned staff, plans work and determines work priorities. Develops and approves schedules, priorities, and standards for achieving goals. Develops administrative objectives and strategies.

  • Performs other duties as assigned.
