Essential Duties

1.Serves as principal contact for and source of information about, the Departments, degrees, activities, deadlines, policies and procedures. 2. Provides logistical and clerical support to Department Chairs, faculty, students, visitors, and guests.

Creates and distributes Departmental schedules, documents, and reports. Processes and supports faculty appointments. 3. Oversees and monitors Department budgets.

Participates in budget preparation and quarterly monitoring. Processes financial paperwork. Coordinates with faculty use of student work-study hours; authorizes work-study timecards. 4.

Provides organizational and logistical support for Departmental admissions process. Serves as liaison to the Registrar/Admissions Office. Trains students assigned to support Department specific admissions activities. 5.

Organizes, coordinates, and implements Department specific events. 6. Oversees and maintains Department databases and mailing lists. 7. Oversees and maintains Department collections and bequests. 8. Other duties as assigned by Chairs of Departments.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level, and a high school-level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Position Focus:

Reporting to the Chair and Operations Manager, the position provides a high level of administrative support to the Chair, faculty, and students in the Linguistics Department.

Serves as primary administrative staff person dedicated to the department. The responsibilities associated with the position are Chair's Assistant, Faculty Support, and Department Registrar.

Serves as primary source of information regarding policies and procedures. Handles appointments, promotions and searches as needed. Serves as Graduate and Undergraduate Registrar providing administrative support to the DUS and DGS.

Prepares expense reports, supplier invoice requests, purchase orders and invoice payments; creates new suppliers as needed; tracks all Workday processes from initial request through approval to final payment; maintains department calendar and website.


Preferred Education, Experience and Skills:

Experience in an academic department in roles such as faculty support, department registrar or Chair's Assistant. Thorough knowledge of Yale forms, policies and procedures.

Position Focus: Provides clinical and administrative support to patients and providers for Yale Medicine Ophthalmology. Coordinates all the administrative functions of scheduling surgery for the patients of the Department of Ophthalmology and Visual Sciences. All paperwork must be completed following all policies of the hospital or ambulatory surgical suite for every surgery, including booking of resources, obtaining precertification and documenting in EPIC for all surgical cases, in office injections and procedures. Each surgery is scheduled in EPIC and followed up on and canceled in the system if the surgery does not take place. Maintains the surgical schedules for surgeons by sub-specialty in an organized manner, including utilization of the Epic scheduling system. Become familiar with set surgical schedules for each surgeon in the department, acting as the source of information for surgical scheduling. Prioritizes cases based on urgency and dates to ensure timely processing of paperwork. Using predetermined scheduling rules by physician and facility, assign surgical date and time for procedures.
