POSITION SUMMARY

This Senior Administrative Assistant position will support two Vice Presidents within the Retail Life department.

The ideal candidate must have excellent verbal and written communication skills, strong attention to detail, be flexible as priorities change, and be able to handle highly confidential information. The qualified candidate will have significant responsibility in acting on behalf of the executives he/she supports, must be able to work independently, and interact and partner effectively with Senior Executives, their assistants, and employees at all levels of the organization.

RESPONSIBILITIES INCLUDE, BUT ARE NOT BE LIMITED TO:

  • Manage calendar and daily priorities for executives, including heavy calendar/meetings coordination

  • Handle all aspects of administrative support in a timely and professional manner

  • Handle travel arrangements and travel expense reports

  • Handle, direct and screen telephone inquiries and meeting requests

  • Plan and coordinate meetings, conferences, and conference calls (both on-site and off-site), with high attention to detail and follow-up

  • Coordinate all meeting materials for executives

  • Prioritize and maintain filing system for mail and messages

  • Print and scan documents as requested by the executives

  • Maintain supplies and handle other administrative duties as assigned

  • Greet executives' guests and escort them to and from meetings

  • Create, review and/or revise memos, letters, presentations and reports on behalf of executives

  • Provide back-up administrative support for other administrative assistants within Retail Life and Marketing to ensure coverage during business hours

Required Qualifications:

  • 5 years administrative experience supporting a senior level executive in a corporate environment

  • Bachelor's Degree preferred

  • Detail oriented with strong follow-up and organizational skills

  • Motivated, self-starter who can anticipate and proactively address issues

  • Ability to multi-task and set priorities; flexibility in a fast-paced corporate environment

  • High level of professionalism with strong interpersonal skills

  • Demonstrates initiative, exercises good judgment and makes appropriate decisions

  • Excellent written and verbal communication skills

  • Team player who is collaborative and considers himself/herself a representative of the Retail Life department

  • Demonstrates solid problem-solving skills

  • Polished and professional always

  • Dependable and flexible, willing to respond to occasional high priority items after business hours

  • Ability to maintain confidentiality and accuracy of data

  • Proficiency with Microsoft Word, PowerPoint, and Outlook

This role is located at the New York City home office at 51 Madison Avenue, New York.

The Senior Administrative Assistant position will provide administrative support to the Head of Financial Risk and the FRM Leadership team. The successful candidate will work well in a team environment while having excellent organizational skills, attention to detail, and strong verbal and written communications skills. This individual will be flexible as priorities change, work effectively with other administrative assistants, and be able to handle confidential information with tact and professionalism. Responsibilities of the role include, but are not limited to: * Coordinate meeting calendar, audio/video conferencing and travel arrangements (including assistance with visas and related documents) with high attention to detail and follow-up * Utilize Microsoft Office Suite to assist Head of Financial Risk Management with presentations and reporting * Ensure timely delivery of or distribution of meeting materials to leadership team * Coordinate monthly/quarterly departmental meetings * Handle heavy meetings planning/coordination and phone coverage, including managing incoming external calls, with professionalism * Review and process invoices and expense reports in a timely manner * Order and maintain supplies, and handle other administrative duties as assigned * Handle procurement card billing approval * Assist with on-boarding of new employees or transfers into the team * Handle ad-hoc projects and assignments as the business dictates Requirements of the role include: * Bachelor's degree preferred * Minimum 5 years administrative experience supporting senior level executives in a corporate environment * Demonstrated experience using Microsoft Office including Word, Powerpoint and Excel.
