Job Summary:
Perform all duties assigned working closely with LT member responsible for facilities.
Oversees the daily work activities of the office.
Manages all invoice related to facilities and support services for this office.
Responsible for smooth operation of all office related functions.
Acts as receptionist when not actively supporting office personnel.
Provides a full range of clerical and administrative support to office personnel.
Liaise with building ownership and management as needed.

Principal Responsibilities:
Collaborate effectively to fulfill assigned projects and tasks, and to identify process improvement opportunities.
Maintain and organize office records, files and, documents, implements an efficient system for other staff to access files and records.
Manages office invoices; validate and approves payments in ERP system.
Keeps records of all vendor invoices and has quarterly reviews with office LT member.
Creates office reports related to staff allocation and facilities expenditures and other as directed by direct report.
Manages small parcel account for the office and coordinating scheduled services as needed.
Responsible for new hire orientation and space allocation.
Coordinates and arranges conference room utilization and scheduling.
Provides clerical support when needed, answer and direct phone calls as well as sorting and distributing incoming mail.
Organize and schedule appointments and meetings.
Act as the point of contact for internal and external clients.
Liaise with executive, leadership team and directors to handle requests and queries.
Coordinates and facilitates maintenance of office equipment including maintenance and repairs.
Maintains inventory of office supplies; orders new supplies as needed.
Other duties as necessary or assigned by direct report.
Promotes positive and collaborative office environment.

FiCo, Procurement, HR, Communications, HSEQ.
Ability to type at least 50 words per minute.
Extensive knowledge of office management procedures.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Proficient with Microsoft Office Suite and related software.
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 25 pounds at times.
