Provides general secretarial and administrative support to a department or group of professionals under general supervision. Performs work that is varied and generally administrative or project oriented. Requires a broad understanding of organization operations, organizational procedures, products and personnel. Handles confidential and sensitive material. Makes some independent decisions regarding planning, organizing and scheduling work.

  • Provides administrative support to Management and assigned functional area(s).

  • Maintains confidential records with proper discretion.

  • Plans events/meetings/conferences/rep trainings from start to finish.

  • Maintains and distributes minutes.

  • Maintains various systems and generates reports for assigned functional areas.

  • Manages communications for assigned functional area.

  • Arranges business travel and accommodations for both employees and external guests.

  • Sorts and distributes mail and communications through proper channels.

  • Provides support for telephone coverage, routing calls and messages as needed. Ensures customers, vendors, sales representatives and employees are handled in a professional manner.

  • Acts as liaison with other departments, business units, other CS locations and independent representatives when applicable or as requested.

  • Supports management in creation of presentations and other requests as needed.

  • Works independently and within teams on special non-recurring and ongoing projects. Manages assigned special projects with independence and has the ability to prioritize multiple projects and disseminate information. Examples of this may be projects related to: sales order entry, specialized technical focus such as LEED requirements and follow up on quotes as assigned.

KNOWLEDGE/ SKILLS/ EXPERIENCE/ EDUCATION: (Minimum Education and/or Experience required)

  • Associate degree preferred plus, one year experience; or, equivalent combination.

  • Demonstrated product and systems knowledge relevant to assigned functional area(s).

  • Demonstrated Systems knowledge to include Microsoft office and other systems relevant to assigned functional area.

When Production Supervisor is present, assists in overseeing, assigning, follow‑up and checking work and participates in production or other production support segment of operations. The objectives for this position are to assist as coach and facilitator to group responsible for continuous and efficient production in desired quantity and quality according to customer requirements. The following duties are typical for this classification. However, any one position may not include all of the duties listed, nor do the examples cover all of the duties which may be performed. ESSENTIAL DUTIES AND RESPONSIBILITIES: * Regularly performs work of the type supervised. Sets up or assists in setting up and operating equipment. Monitors quality of work and makes equipment adjustments as necessary. * In the absence of Production Scheduler or Production Supervisor, assigns and directs workers in group with respect to production volume, cost and quality of production and meeting production goals and delivery dates. Determines job requirements from job order, drawings or verbal instructions. * Assists in achieving maximum efficiency and productivity of group personnel. * Encourages efficient utilization of equipment and facilities. Assists in ensuring that work group has necessary resources to complete requirements. * Works with group members to develop plans for fulfilling orders according to customer requirements. Assists in updating the work group on information pertinent to the successful delivery of the order. * Performs continuous quality control inspections of own work and co‑workers during normal course of operations. * Performs other assigned work when so directed, such as checking availability of needed supplies and moving material on own or have material delivered to production or shipping area. Provides assurance that are materials are available. Notifies shipping and receiving department of all shortages or defective materials requiring replacement. Requisitions all materials requiring replacement in order to maintain accurate inventory management from warehouse. * Assists in maintaining compliance with Company policies, safety standards, and good housekeeping practices. Ensures that all personnel are properly trained on safety items. Maintains work area, equipment and supplies in a neat and orderly fashion. Ensures that guards and safety devices are installed and operating properly. Performs required equipment inspections. Reports any problems to Production Manager. Directs co-workers to do the same. * Assists in maintaining basic production records and updates information systems as required. Completes paperwork, computer data entry, and any other records required. * Assists in maintaining conformance to budgetary limitations. * Praises employees for good performance and suggests corrections to ensure consistent production, quality standards, cost reduction, and increased efficiency. * May initiate and recommend purchase of new equipment as well as recommendations on plant layout. * Checks for proper maintenance of equipment. * Assists in training of work group. Assists in identifying training needs and provides technical assistance and training when necessary. Helps facilitate the group process both in meetings and in daily operations. Provides feedback and coaching for group. Assists in developing individual group members and the entire group in group process, team dynamics, basic quality tools, and problem solving models and techniques. * Assists in guiding the work group's problem solving process toward continuous improvement of quality and productivity measures and, as directed by Production Supervisor, expediently advises group of any organizational changes that may affect their processes. Orients new members of group. Helps to ensure that group goals are pertinent and clear to all. Helps the group reach consensus of key issues. * Assures quality of work through accuracy, neatness, paying attention to details, thorough understanding of information, with minimal amount of rework. Conveys personal commitment to quality by demonstrating good quality behavior. Identifies and acts upon opportunities to improve quality of material or process. Reviews job requirements and checks completed work to ensure that manufactured products comply with requirements and meet quality standards. * Interfaces with other departments as necessary. Builds rapport with other organizational units and individuals critical to the group's success. * Refers unusual conditions or non‑routine problems to Production Scheduler or Production Supervisor. * Ensure that hazardous material and waste handling is conducted within the guidelines of the training provided. * Ensures conformance to all aspects of the ISO 14001 standard and Construction Specialties' Environmental Management System (EMS), including its environmental policy while performing job functions that may have a significant impact on the environment. EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) and one to three years experience to become familiar with products, materials, machines and methods; or equivalent combination of education and experience. LANGUAGE SKILLS: Ability to read and interpret documents such as drawings, specifications, company policies, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before work group and employees from various departments of organization. MATHEMATICAL SKILLS: Ability to add and subtract, multiply and divide in all units of measure, using whole numbers. Ability to apply concepts such as fractions, percent ages, ratios, and proportions to practical situations. REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
