The purpose of this position is to provide routine and semi-complex administrative, clerical and customer service support to Economic Development, Tourism and Planning and the associated staff, to include direct administrative support to the Department Head.Essential Job Functions represents 20%-50% of working time on a regular basis, subject to the varying demand of specific functions. All functions listed below are considered essential and are expected to be completed regularly and efficiently by any incumbent. Regular, punctual and on-site attendance is essential for all functions listed below:

  • Provides support to the activities of the Economic Development, Planning and Tourism offices including, but not limited to, the following:

  • Conducts research, analyzes data and creates reports for staff and departmental functions.

  • Maintains a comprehensive knowledge of programs and resources available to businesses.

  • Provides and promotes information on City, State and Federal business programs.

  • Completes filing for incentives with the State in accordance with regulation monthly and/or annual

  • Filing TIF/TIRZ with the State annual as well as preparing board packets

  • Assists the Tourism department by preparing marketing and tourism documents, gifts, communications, marketing campaigns and other related items.

  • Provides support to special events and programs, such as the National Pickleball Championships and Bloomin' Bluegrass Festival. Coordinates with associated vendors, sponsors, staff, public safety and other necessary parties for effective event administration.

  • Attends special events and provides on-site event support as necessary.

  • Provides administrative support for the Department Director and all staff of the Economic Development, Planning and Tourism departments, to include but not limited to:

  • Ensures quality customer service to the general public, vendors, business owners and City employees by responding to inquiries and/or complaints in a timely and professional manner. 

  • Composes numerous forms of correspondence such as memos, letters, reports, public notices, and miscellaneous documents. 

  • Coordinates travel arrangements, monitors account expenditures, processes invoices, and manages vendor relationships through accurate and timely payment and coordination of invoices.

  • Responsible for the accurate and timely coordination, entry and payment of all Economic Development, Planning and Tourism invoices, purchase orders, requisitions, P-card purchases and other associated

  • Acts as Records Retention Manager for department and processes public information requests as necessary. Assists with Council Agenda items and budget preparation as needed. Processes supplies requests and assists with budget tracking for department as necessary. 

Qualifications and Experience

Required

  • High school diploma or equivalent.
  • Two years of directly-related experience in the municipal government, economic development, planning, zoning or related industry.
  • An equivalent combination of the above experience and education to satisfy the minimum requirements of the position.
  • A valid Texas Driver License, Class C.

  • A comprehensive criminal background check, drug/alcohol test and a motor vehicle review.
  • Knowledge of pertinent federal, state, and local laws, codes, ordinances and regulations related to plans, zoning, land divisions and economic development operations.

  • Skill in the de-escalation of sensitive or aggressive customer/vendor/citizen issues.
  • Skill in analyzing data, identifying trends and creating actionable data strategies.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels.
  • Ability to simultaneously coordinate multiple tasks and priorities and support multiple individuals, teams, and work groups.
  • Ability to establish and maintain project schedules and balance responsibilities for multiple projects, functions or initiatives.
  • Ability to continually demonstrate practical knowledge, analytical judgements and informed decision-making.
  • Ability to provide technical, practical or functional knowledge related to job functions.
  • Ability to effectively inform, educate, persuade or influence others related to job functions and necessary outcomes.
  • Ability to communicate effectively on technical, interpersonal and professional levels to diverse audiences, communities and interest groups.
  • This position may drive a City vehicle as part of its essential functions.
